Compensation: $19.00 to $22.00 hourly
The Clerical/Sales Support individual performs routine clerical, administrative work to support ongoing office operations and to provide support to the Export Division’s Sales Team. Coordinates issues, documentation, and communication among key stakeholders (Sales, Finance, suppliers, customers, etc.), this role helps to ensure continuous export operations for the corporation. Essential Functions: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. • Creates purchase order sheet that details how produce will be shipped. • Creates, verifies, proofreads, organizes, tracks, and collates country-specific documentation related to export orders. • Forwards original purchase and shipping documents to overseas customers in a timely manner. • Performs dispatching tasks, including setting up orders with suppliers and packing houses, then deploys inspector to locations. Coordinates inspection results, as appropriate, to support sales process. • Reviews customer accounts receivable aging report on a weekly basis. • Follows-up with late-paying customers, as requested by Sales Team, Assistant Office Manager, or Office Manager. • Receives status of order arrival and quality to customers with Sales Team and Vice President. Subsequently communicates to Accounts Payable regarding related supplier payment. • Coordinates claim management process among Sales Team, Vice President, customers, and vendors. • Escalates supplier issues to appropriate salesperson, inspector, manager, or Vice President, and shares alternative solutions and best practices. • Communicates with sales, inspectors, accounts receivable, and accounts payable, customers, co-workers and others in a courteous and detail oriented manner. • Operates listed office machines as required. • Conforms with and abides by all regulations, policies, work procedures, and instructions.
