About the Role
The Administrative Assistant manages United Dwelling’s process for the single-family property owners, multi-family property owners, and ground-up real estate developers from the time they sign a pre-construction agreement until the home is completed.
It is a critical role that requires a personable, friendly individual whom the client can trust.
You will frequently communicate with clients, passing on information from multiple teams in order to keep owners informed while limiting them to one main point of contact.
You will work closely with the core United Dwelling teams of sales, entitlements, and construction to ensure a seamless transition between each phase.
Responsibilities
Collaborate with sales, entitlements, and construction teams to facilitate a seamless transition of owner relationship from contract signing to project completion
Master our onboarding process through formal training and continued learning
Complete assigned tasks in an organized manner to ensure project deadlines
Establish a trustworthy relationship with developers through prompt, friendly, and accurate communication
Actively reach out to developers to ensure satisfaction during our process
Utilize Hubspot, Google docs, Monday.com, PandaDoc, and more to successfully record information and documentation
Ensure extremely minimal client drop-off during onboarding
Coordinate behind-the-scenes account setup across multiple departments
Assist in scheduling property inspections, as necessary
Help underwriting team and acquire necessary paperwork and information
Understand and be able to communicate construction timeline with detailed updates to the developer
Communicate with the property management team to ensure an excellent tenant acquisition process, if applicable
Reports to Customer Success Manager
Requirements :
Excellent customer relationship building skills
Stellar written and oral communication skills
Ability to think on your feet and react quickly and accurately to client questions
Highly organized, detail-oriented with a strong ability to multitask
Agility in duties and ambiguous task
Bachelor’s degree strongly preferred
Bilingual: Spanish (a plus)
Ability to attend on-site events (access to reliable transportation)
Job Type: Full-time
Salary: $58,500-$63,000
