Summary:

Security Services Holdings d/b/a Protos Security is looking for a Office Manager for one of our subsidiaries, Squad Security, at our Los Angeles, California, location.

The Office Manager is responsible for managing the day-to-day operations of our Los Angeles office to help our organization continue to run smoothly. The ideal candidate is resourceful, excels at problem solving and communicates effectively.

Essential Duties and Responsibilities:

Core duties and responsibilities include the following.

  • Oversees the general office operation
  • Partners with HR to update and maintain office policies as necessary
  • Assists HR in preparing and executing weekly payroll
  • Obtains primary financial data for accounting records and bill payment
  • Produce reports, compose correspondence, manage contracts, and price negotiation with office vendors and service providers
  • Maintains office G&A budget, ensures accurate and timely reporting
  • Coordinates with IT department on all office equipment
  • Responsible for supplies and inventory and maintains proper stock levels
  • Greets visitors, answers incoming phone calls and delivering world-class service to our customers
  • Schedules meetings and appointments
  • Organizes conferences, celebrations, office and offsite events
  • Assists HR with the onboarding of new hires and employee changes
  • Addresses employees’ queries
  • Perform other duties as assigned

Qualifications:

Education/Experience:

  • Bachelor’s degree preferred
  • Minimum of 5+ years of Office Management experience preferred
  • Proficient in MS Office Suite
  • Excellent working knowledge of California (including San Francisco) employment laws a plus
  • Prior experience with multi-state locations is a plus
  • Strong attention to detail and ability to problem solve
  • Excellent organizational skills
  • Some IT experience preferred

Computer Skills:

  • Payroll Systems (ADP Workforce Now)
  • Spreadsheet Software (Excel) intermediate/high-level
  • Word Processing Software (Word)
  • Presentation Software (PowerPoint)

Other Skills, Abilities, and Qualifications:

  • Excellent judgment and discretion; ability to handle multiple priorities simultaneously, meet deadlines, and handle work-related stress is required
  • Remain calm and professional in stressful situations

  • Must be able to work outside of regular business hours which will include nights and weekends to meet deadlines

Travel:

Travel is expected for approximately 10%

Salary Range: $27.00 – $30.00
