Bookkeeper / AP Manager

Contemporary art gallery in Los Angeles seeks an Accounts Payable Specialist for accounting department.

This position will share an office space with the Director of Business Operations, Staff Accountant, and a small mellow dog.

Hours are Tuesday
– Friday, 10a
– 6p.

Job Description
Review all invoices for appropriate documentation and coding and approval prior to payment
Sort and distribute incoming mail
Prioritize invoices according to payment terms
Process check requests
Audit and process credit card bills and expense reports
Match invoices to checks, obtain all signatures for checks and distribute checks accordingly
W-9 and 1099 maintenance
Respond to all vendor inquiries
Reconcile vendor statements, research and correct discrepancies
Assist in month end closing
Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices
Assist with other projects as needed
Requirements:
2+ years of Accounts Payable or 3 –
– 5 years of bookkeeping experience
High school diploma required, college courses in accounting preferred
Must have a strong work ethic and exercise a high level of discretion
Must be well organized and a pro-active.
The ability to anticipate and think through problems is a necessity
Must be able to follow standard filing procedures
Detail oriented, professional attitude, reliable
Proficient in Quickbooks Accountant (Multi-User), Excel and Word, 10-key by touch, Filemaker experience a plus
Ability to type at least 60-65 wpm
Possess strong organizational and time management skills
Strong problem solving skills, basic accounting principles knowledge, documentation skills, research and resolution skills, data analysis and multi-tasking skills
Thorough knowledge of applicable accounts payable/general ledger systems and financial chart of accounts
Ability to communicate effectively verbally and in writing
Ability to interact with employees and vendors in a professional manner
Ability to speak and write English, second language a plus but not required (Japanese, Mandarin, Korean, Spanish)
Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness
Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately
Experience:
Bookkeeping and Accounts Payable: 3 years (Required)
