Under minimal direction this position will ensure the efficient daily operation of the department by overseeing all event scheduling and university scheduling calendar functions.

1.

Management of University Master Calendar (including Tiered Events).

Partner with supporting departments and representatives.

Coordinate all facility scheduling and events, including the Playa Vista Campus.

2.

Manage logistics of external filming productions and provide oversight of student filming permits.

3.

Manage, develop, and continually update the university master scheduling database and provide information to critical areas on campus (i.e., Public Safety, facility managers).

Provide training as appropriate.

Ensure quality and integrity of all data within this database.

Recommend enhancements as applicable.

4.

Oversee scheduling database upgrades, enhancements, interfaces, and implementations.

Database lead for 25live.

5.

Responsible for all aspects related to supervision of Event Scheduling staff.

Work with staff to address issues and establish strategies to insure deadlines and goals are being met.

Recruit, hire, develop, coordinate and conduct staff training.

Perform Staff Reviews and take disciplinary action as needed.

6.

Provide reports to management as needed, including evaluation, statistical analysis and recommendations on a needs basis.

7.

Support other campus constituencies who manage facilities, keep informed of events taking place in those facilities and ensure proper procedures for all scheduling.

8.

Develop and maintain relationships with campus constituents including Student Life, Sodexo, Public Safety, Athletics, Facilities and others as needed.

9.

Maintain and manage department communications, including monthly newsletter, website (used to educate the campus community on processes with Conferences and Event Services), and web based campus-wide calendar for the entire LMU community.

10.

Act as department liaison and representative to students, campus organizations, faculty staff, facility staff, and others regarding the availability, size, configuration, regulation protocol, and location of events.

11.

Represents LMU at professional organizations or associations and serves on committees as required.

12.

Perform other duties as assigned or requested.Management of University Master Calendar (including Tiered Events).

Requirements

Typically a Bachelor’s degree or equivalent experience.

Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.

Minimum four years supervisory office work experience in a customer service and event management setting.

Previous experience in higher education event/conference technology management highly desired.

Demonstrated knowledge in the principles of organization.Knowledge of various aspects of event/conference management.Knowledge and understanding of a university environment, both organizationally and politically.

Ability to work as part of a team.Ability to communicate well with a diverse population of faculty, staff, students, all levels of administrators, and others using tact and diplomacy at all times.Ability to simultaneously work on multiple tasks with varying deadlines.Demonstrated ability to solve problems and flexibility in handling last minute changes.Ability to work a flexible schedule (nights, weekends, and holidays).Be on call for emergencies year-round.

Exemplary communication skills (both written and oral).

Highly developed crisis management skills.

Demonstrated computer competency and preferably knowledgeable in Microsoft Office Suite.

R25 or 25 live scheduling experience preferred.
