Administrative Specialist

Responsibilities Provide administrative support to two faculty members of General Internal Medicine and Health Services and Dr. Carol Mangione, Division Chief. Duties include assisting with word processing, editing and proofreading of research grant proposals, managing reference bibliographies using EndNote software, and formatting and submitting scientific abstracts and research manuscripts; maintaining biographical sketches, curriculum vitae and other support pages; preparation of grant applications, consent forms, and HSPC/IRB applications. Creating graphs, tables, spreadsheets and slide presentations. Coordinating, scheduling, and taking minutes for meetings, conferences and site visits. Manage communication with various departments, national organizations offices, funding agencies, investigators, co-directors, fellows and patients. Manage GIM&HSR Faculty Searches and Visiting Faculty including coordination of all events committee communication, evaluations and reporting. Maintain academic and research calendars for faculty of deadlines and report due dates. Make travel arrangements and prepare travel reimbursement and purchase orders. Respond to patient inquiries on laboratory results, prescriptions, appointments, and other concerns. Assist faculty in performing various other tasks relating to research programs, fellowships and activities. As Academic Personnel Coordinator (and abiding by Academic Compensation policies) prepare academic dossiers, organize Career Planning Conferences as well as Quarterly Clinical Instructor meetings, handle Credentialing and Privileging, recruitment of Community Physicians. Preparation of J-1, H-1B and O-1 visas, vacation reports, and distribution of RVU information to faculty and creation of complex graphs regarding productivity Qualifications Skill in setting priorities which accurately reflect relative importance of job responsibilities and in coordinating projects. Demonstrated ability to establish and maintain cooperative working relationships with other staff members, fellows and faculty. Ability to develop, modify and maintain websites Ability to develop, modify and maintain statistical tables and survey instruments Ability to develop, modify and maintain presentations Ability to navigate and use the NIH Manuscript Submission System (NIHMS Ability to locate patient information through MCCS Knowledge of University policies and procedures on IRB, travel, procurement and other relevant issues Ability to take initiative to keep faculty on track to meet deadlines. Anticipates and ensures that goals and benchmarks are achieved and provide appropriate follow through on all faculty commitments Knowledge of Academic Personnel and Academic Compensation policies Minimal working knowledge of medical terminology sufficient to recognize and analyze appropriateness of research statements Knowledge of Department of Medicine Dossier Program as well as database Eve Ability to organize and manipulate a large quantity of data Willingness to help out with special projects as directed UCLA is an Equal Opportunity/Affirmative Action employer.
