– Administration: Emergency DepartmentStatus: Full timeBenefits Eligible:YesHours Per Week:40Schedule Details/Additional Information:Major Responsibilities:Performance of diversified administrative and secretarial work in support of the Director of Women and Infants’ Services, Chairman of OB/Gyn, MFM and OB/Gyn physicians, MCOs and CPSs and other leaders in the department.

1)Coordinate work or provide direction and/or guidance to others.

2)Coordinate meetings and special events with very little direction.

3)Promotes patient safety by reporting of issues through established channels and participating as requested in safety initiatives.

4)Initiate follow-up for calls, correspondence, etc.

5)Respond to correspondence received by the area to include routing inquiries, routing requests to the appropriate personnel, and acknowledging receipt of messages 6)Coordinate with internal and external sources to accomplish activities such as obtaining bids for outside printing, office equipment and/or supplies, selecting menus and arranging room set-up, etc.

7)Compile, analyze and summarize data to prepare reports.

8)Facilitate and manage the in-house call schedule.

9)Managing of AdvocateWorks for the department.Preparation and dissemination of correspondence.

1)Type letters, memoranda, reports and other types of correspondence from rough drafts or provided copy.

2)Compose correspondence for supervisor/staff.

3)Collect data and/or compile information to prepare reports for the department.

4)Take and transcribe dictation as needed.Adheres to system and facility policies and procedure as well as standard of the regulatory bodies.

1)Proficient with the ADS managing policies.

2)Proficient with the document control and updating documents 3)Adheres to the SBAR criteria with the postings of announcements.Maintenance of department files.

1)Maintain records and files within the department/unit.

2)Create and set up filing systems within department/unit.Education/Experience Required:High school or equivalent
•5 years administrative secretarial experience or
•Associates degree and 3-4 years administrative secretarial experienceKnowledge, Skills & Abilities Required:Typing 60 words per minute, preferred
•Extensive knowledge of several software applications is preferred
•Ability to create spread-sheets manipulate data preferred
