Job Description: In this role as Administrative Assistant you will: Provide administrative office functions and support, including filing, maintenance of records, data input, correspondence, e-mail messaging, answering incoming calls, meeting follow-upGreet and assist visitors;maintain office security safety procedures via the reception desk Act as liaison between employees and building/facilities managementCode and process invoices ensuring all payments are made timely, accurately and in compliance with the company’s policies and procedures (checks, wires, ACH and credit card)Handle vendor invoice inquiries and account discrepanciesSchedule conference calls as needed and maintain the conference rooms schedule logsGenerate courier (i.e.

FedEx) waybills including weekly mailings, process & code courier invoices & supervise courier accounts Your experience and background include: Minimum two (2) years Administrative Assistant experience providing support to managementHuman Resources support or highly confidential environment strongly preferredManaging projects Intermediate skill level in Microsoft Word, Excel, PowerPoint and Outlook required; knowledge of Microsoft Visio a plus.Excellent interpersonal and communication skills – oral, written, and listening Your work style: Flexible, calm approach to all situations Insiders Tip: This role requires the ability to build strong relationships across multiple channels and ensure the office is running efficiently.
