Administrative Assistant

Aon is looking for an Administrative AssistantThe Administrative Assistant (AA) provides administrative support to a team of colleagues within a workgroup, practice area, or client team.

Support ranges from clerical and logistical matters to document production and the effective use of office applications.The AA responds promptly, thoughtfully, and effectively to changing work environments, changing priorities, and new situations.

Additionally, the AA possesses the skills and ability to communicate effectively and appropriately with internal resources, clients (where applicable), and other parties in a global and virtual working environment.

The AA is integral to the efficient workflow within the office environment.This is a hybrid role with 2-3 days in our Chicago, IL officeJob Responsibilities:Coordinate day-to-day activities for the senior executives including phone and email management, meeting logistics, travel arrangements, collection and preparation of materials for meetings, note taking and follow-up communication, etc.Schedules, and coordinates meetings, via Webex Teams or in person securing room reservations and food ordering/delivery, if necessaryActs as a key resource for the team (e.g., independently seeks out answers to questions, takes initiative, leverages network of resources to solve problems)Assists with overflow work from Administrative and Executive AssistantsPrepares and produces presentations and correspondence, graphic presentations, and other documents, including editing for grammar, punctuation, and clarityMaintains files, databases, or SharePoint sites as appropriateUses internal travel tool to research travel options and book travelPrepares and submits expense reportsAssist team with the development and preparation of proposals, meeting materials, and reports including performing research, summarizing information from several sources, and help with special projects as neededPrioritizes work, makes measurable progress on assignments, and delivers quality resultsKeep up-to-date with and support dissemination of the latest internal organizational structure, client account teams/ lists, and team best practicesServes as resource for Aon branding; completes Brand Ambassador certificationOrganizes team building eventsDomestic travel 5% annually for support on events and team meetings (approx.
