Duties include but are not limited to maintenance of data programs.

Preparation and submission of billing invoices.

Coordinates and compiles monthly and quarterly program reports.

Provides professional, courteous, and confidential support to staff and participants.

Provides reception support for the Sierra Vista location.ESSENTIAL FUNCTIONS
• Compiles monthly, quarterly, semi-annual, and annual reports and submits to them to the appropriate program coordinator as directed.
• Provides support and assistance to agency management staff, as necessary.
• Prepares and submits monthly billings.
• Assists with agency accounts receivable, accounts payable: preparing and submitting to Business Office, maintaining records, ensuring accuracy, and tracking payments as needed.
• Responsible for programs purchasing materials/ supplies.
• Runs reports from the Case Management software system for the Associate Director and program coordinators monthly or as requested.
• Provides training and support for web based and other applications used by Child Welfare staff
• Greets participants/guests, answers and screens calls, takes detailed messages, and performs general office functions
• Operates and maintains office machines and multi-line phone system
• Assists with coordinating outside professional services related to ongoing building and maintenance needs (security, fire, and health inspections) and maintaining related records
• Acts as liaison to Corporate IT support, as necessary
• Assists with maintenance of a record retention process for Child Welfare cases
• Creates and manages tracking of data for various purposes
• Processes incoming/outgoing mail
• May drive company or personal vehicle on agency businessMINIMUM QUALIFICATIONSSuitable work experience may be considered as transferable skills in order to meet minimum requirements of the position and will be considered by the Corporate Director of Human Resources.
• Associates in related field (years of experience may substitute for AA)
• 2 years administrative support experience
• Excellent data entry skills (speed and accuracy)
• Proven skills utilizing Microsoft Office Suite
• Excellent organizational skills
• Proven strong communication skills
– oral and written correspondence are clear and concise using appropriate style, grammar, and tone
• Obtain State of Arizona Level One Fingerprint Clearance Card
• Valid Arizona Driver License, proof of insurance and Arizona Motor Vehicle division 39 months Motor Vehicle Report
• Ability to lift 35 lbs 10%
• Ability to stoop, bend, climb and reachDESIRED QUALIFICATIONS
• Bachelor’s degree in related field
• Additional years of directly related experience
