Office Assistant

Office Assistant Job Purpose:

Manages general office duties to ensure company processes run smoothly. Assists with director duties and corresponds with clients, customers, and vendors.

Office Assistant Job Duties:

  • Perform clerical duties, including, but not limited to, mailing and filing correspondence, preparing payrolls, placing orders, and answering calls
  • Interact with clients, visitors, and vendors
  • Sort and distributes incoming mail
  • Arrange meetings by reserving rooms and managing refreshments
  • Type correspondence, meeting notes, and forms among other documents
  • Photocopies, scans, and files appropriate documents
  • Edit documents for accuracy
  • Maintain accurate records and enters data
  • Assist with organizing events when necessary
  • Conduct research and compiles data
  • Sign for delivered packages and distributes them to the appropriate recipient
  • Assist in setting up new client accounts
  • Maintain financial database records
  • Cover reception upon occasion
  • Maintain stock of supplies by anticipating work requirements, ordering supplies, and distributing supplies where necessary
  • Answer customer questions and confirms customer orders
  • Perform additional duties when required, including drafting brochures and organizing the filing system
