The Position
The Director, Grant Operations (or “Director”) will work closely with the foundation’s Vice President/Chief of Staff and the Managing Director, Programs to develop and oversee best in class grant operations centered on our values (described below), especially diversity, equity, inclusion and justice. The Director will be responsible for managing and reporting on day-to-day grantmaking operations, compliance, tracking and outcomes. The Director will have a deep belief in the foundation’s mission of elevating organizations, initiatives and leaders that boldly address the challenges of our time and expand opportunity for Los Angeles’ historically marginalized communities.
Reporting to the Managing Director, Programs, the Director will support the administration of grantmaking for the foundation, which has an endowment of more than $2 billion. The Director will be an experienced philanthropic grants management leader, strategic thinker, and will possess a strong passion for creating processes centered in equitable and inclusive decision making. They will be skilled in change management, creative problem solving and collaborating with cross-functional working teams.
Responsibilities
Grants Management, Contracts and Compliance
- Develop strong relationships with TBF’s grantees that will enhance partnerships and keep the grantee experience and voice at the center, serving as a point of contact for grant administration-related questions
- Conduct thorough review of grant agreements and vendor contracts with a high attention to detail on quality
- Set annual grant operation goals and targets, determine grantmaking decision flows, manage pipeline and work collaboratively on grant docket preparation
- Ensure tax and regulatory compliance and risk mitigation in partnership with the finance team and outside legal counsel
Grants Data, Systems and Reporting
- Oversee and manage the grants management system, including Salesforce and SharePoint, ensuring the integrity of the system, its design, data, software and user access working with the Data and Impact Officer and Senior Accountant/Grants Administrator
- Promote the ongoing use and adoption of technology to streamline the grantmaking life cycle
- Partner with the Data & Impact Officer to design the grants management software to capture agreed-upon strategic evaluation outcomes and metrics
- Provide regular and timely reporting on programmatic, operational and financial information, to maximize effectiveness and efficiency
Strategy and Best Practices
- Participate and inform long-term planning and staff training to ensure smart, thoughtful, DEIJ centered and adaptable grantmaking operations internally and with grantees and other stakeholders
- Identify current national trends in grantmaking and establish ongoing checks and balances that are aligned to internal and external best practices
- Provide trainings and opportunities for learning across TBF team through relationship building, proactively assessing and prioritizing needs, and developing relevant learnings that strengthen TBFs philanthropic areas of focus
- Keep current on topics and issues related to TBF’s overall strategy, grants management best practices, establish and maintain ongoing interaction with professional networks
Qualifications
- 12+ years of experience in philanthropy, grantmaking, or nonprofit management or other related operational experience
- Has a deep belief in incorporating the values of diversity, equity, inclusion and justice into grantmaking structures and decisions
- Strong relationship builder and networker with ability to quickly build rapport and establish trust and respect among our grantees, vendors and other stakeholders
- Enthusiastic collaborator with knowledge of best practices of grants management processes and approaches
- Takes human-centered approaches when creating policies and processes and is flexible with a demonstrated success in managing changing priorities
- Entrepreneurial, self-starter with strong critical thinking skills and proven ability to see the big picture, recognize trends, analyze data and make strategic recommendations
- Demonstrated knowledge of database management, including data collection and analysis, assessing, and communicating grant information and outcomes.
- Solutions oriented with a proven track record of identifying gaps and opportunities to recommend quality improvements
- Strong analytical and organizational skills with a high attention to detail
- A high level of ethics, integrity and accountability, with an ability to use discretion and uphold confidentiality
- Excellent written and verbal communication skills, with an ability to represent TBF in any given environment
- Willingness to work in ambiguity and adapt to changing and competing priorities
- High level of proficiency with database management tools including Salesforce and expert level knowledge of Microsoft Office suite
- Working knowledge of US laws and IRS rules and regulations applicable to private foundation grantmaking, charitable contributions, nonprofit audits and nonprofit tax returns
Compensations and benefits
Compensation is competitive and commensurate with skills and experience. The foundation offers excellent benefits including a variety of health plans and a 401(k) plan.
Location
This position is based in Los Angeles, California. Following State and County guidelines related to COVID-19, team members are currently working remotely. TBF will be implementing a hybrid work model in which some weekly in-office attendance will be required once it is safe to return to an office.
