Billing Manager

BILLING MANAGER (ELITE SOFTWARE) – LARGE LAW FIRM

As a member of the Accounting Department, the Billing Manager is responsible for managing the client accounts/billing function for the Firm.

ESSENTIAL FUNCTIONS:

  • Manage and oversee all Billing Department functions and organization assuring work is completed accurately and effectively within defined deadlines including pre-bills, invoices, delivery of invoices to clients, e-billing and alternative fee arrangements, etc.
  • Maintain hands-on knowledge of all billing related functions in order to provide proper training, back-up, and support, including, but may not be limited to bill preparation, bill review, pre-bill review, inventory management, interim billing management, write-off management and exception rate management.
  • Establish controls and ensure the quality and integrity of the billing process.
  • Works closely with E-Billing specialists to ensure accurate and timely submittal of e-bills and the prompt resolution of client disputes and Firm appeals. Monitoring Billblast software to make sure processes are being followed through on.
  • Work closely with Billing Supervisors to ensure efficiencies and appropriate staffing to maximize the speed of delivery of monthly billings to Clients.
  • Work closely with Billing Supervisors to review aged unbilled time and departing attorneys work in process.
  • Work with attorneys to design and develop invoicing to meet special client requirements.
  • Participate in systems upgrades and testing.
  • Conduct training sessions with billing specialists and billing coordinators in conjunction with billing supervisors.
  • Provide leadership to client billing staff. Manages staff on projects and assignments. Responsible for hiring staff, conducting performance reviews, as well as coaching and developing staff.
  • Work closely and regularly with billing attorneys to assure client bills meet expectations. When necessary, implements or develops new processes to meet specific needs related to client requirements.
  • Maintain and oversee process of applying rates to Firm timekeepers and clients.
  • Understand technical aspects of billing software/programs.
  • Interact regularly with IS Department to resolve software issues or to update current structures. Troubleshoot issues and makes recommendations for upgrades and/or changes to current software. Work collaboratively with IS to integrate upgrades and/or changes to the system. Communicate all changes to the appropriate staff.
  • Provide training on paper proforma application.
  • Work extensively with current polices and/or writes new policies to meet the changing needs of the Firm as a result of mergers and acquisitions and other issues/activities.
  • Seek approval of changes to policies or to new policies and communicates as necessary.
  • Travel occasionally to other office locations to audit client billing processes and adherence to Firm policies.
  • Work collaboratively with the CFO and Controller-Client Accounting to establish short and long-term projects and initiatives. Assist in developing the strategic direction for area of responsibility.

Job Requirements:

Knowledge, Skills, & Abilities:

  • Previous experience with Elite accounting system strongly preferred.
  • Must have strong ability to troubleshoot and bring to resolution technical issues with billing software.
  • Strong management, written/oral communication and interpersonal skills required for interacting with management, subordinates, clients, attorneys, and staff. Working professional standards of tact, discretion, and positive attitude.
  • Strong supervisory, organizational and project management skills and ability to prioritize and multi-task with a high volume of work in a fast-paced environment.
  • Outstanding accounting, analytical, mathematical, and problem-solving skills. Strong attention to detail; high level of accuracy a must.
  • Must possess knowledge and demonstrated application of generally accepted accounting principles. Working knowledge of related legal/compliance regulations.
  • Demonstrated experience using related accounting computer systems and Microsoft Office Suite, including Outlook, Word, and Excel.
