Assistant Manager Job Description

While the Assistant Manager performs a broad range of administrative duties, greeting and interacting with homeowners, residents and guests is Job One.

The Assistant Manager must be a natural host who wants each of his or her guests to feel well cared for.

The Assistant Manager conducts administrative tasks in the following areas:
Community
Finance & Accounting
Governance
HR
IT
Outside Agency Compliance
Risk Control & Insurance
Facilities Project Planning, Monitoring and Reporting
Facilities Health & Safety Administration
Facilities RFPs
Operations Administration
Specific duties include:
Greet and converse with residents in person and on the phone.
Track resident comments, complaints, etc.

and respond in an upbeat, can-do manner.
Draft communications, including the newsletter, process mailings and provide notice.
Maintain owner files and the corporate record.
Manage and update the communities’ website.
Schedule services, including reservation and maintenance services.
Prep documents, scan, file, and perform other clerical/ administrative tasks.
Administer applications for unit remodeling.
Manage rules citation, hearing prep and notice, and enforcement notice.
Manage payables, including petty cash and reimbursement receipts.
Administer payroll.
Administer employee time off requests.

Administer general HR administrative tasks.
Administer bidder qualification and solicitation.
Administer Board packet prep.
Take minutes and distribute same.
Administer the annual meeting.
Manage outside agency and statutory compliance.
Maintain the inventory of office supply.
Administer other clerical tasks as requested by the Gen.

Manager.
Qualifications
A university degree is strongly preferred.
3+ years’ experience as an Assistant Manager or Portfolio Manager of HOA strongly preferred.
Excellent verbal skills.
Excellent typing and computer skills: Microsoft Word, Excel, PowerPoint, and
Outlook.
Must maintain a professional appearance and a cordial attitude towards all guests and staff members.
Able to handle the stress of high customer demand in a hospitality environment.
Must be customer service oriented and able to work independently or with others as needed.
Must be able to easily and frequently change from one activity to another.
Physical and Environmental Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of the job, the Assistant Manager is required to sit, stand, bend, walk, use hands and fingers to control objects, reach with hands and arms, type, talk, and see and hear.

The employee must be able to lift 25 pounds.

While performing the duties of this job the employee works primarily in an indoor environment with generally low levels of sound.

Job Type: Full-time, non-exempt.Wage: Up to $31.25 per hour.
