Vendor Assistant

Responsibilities/Tasks:

1. Vendor development and maintain strong positive working relationships with our vendors

2. Develop an active process for measuring supply inventory and determining purchasing needs based on quarterly and annual numbers

3. Analyze the Purchase Requisitions from warehouse and order them in timely manner.

4. Negotiating pricing & delivery and place the purchase order for domestic and international vendors so the material is delivered on time for production to run smoothly.

3. Inventory management role with warehouse team.

4. Tracking purchase orders placed with vendors and making sure they arrive on time as decided.

5. Managing Accounts Payable system which includes closing the PO once received and matching the invoices and paying them.

6. Handle Rejections if any with the Vendors.

7. General Purchase administration tasks.

8. Previous experience in managing purchase of parts , components and services a plus point.

9. Continuous improvement of the processes and systems in place for efficient working.

Requirements:

1. High school diploma/GED required (Associate degree or higher preferred)

2. 3+ years’ experience in a purchasing role

3. Excellent communication and negotiation skills

4. Proven history of effective supply management

5. Able to create and administer a task priority list based on company needs

6. Multitasking and being in control of the department.

7. Organization skills and Team work.

  • Maintain proficiency in computerized purchasing/business systems;.
  • Getting quotes, purchasing materials, billing
  • Improve purchasing tools, processes and procedures
  • Create purchase orders of corresponding vendors/suppliers
  • Submit purchase orders and process merchandise returns
  • Assist the purchasing team with diversified administrative tasks
  • Transmit information to factories & purchasing services
  • Entering sales/purchase orders in a timely manner
  • Submit purchase orders to suppliers and transportation companies
  • Prepare purchase orders by verifying specifications and price
