Technology & Innovation Executive Assistant

T&I EXECUTIVE ASSISTANT WHAT IS THE OPPORTUNITY? This position is responsible for managing the Executive’s schedule, calendar and details associated with various community and personal events, coordinating projects, managing confidential assignments, as well as coordinating executive travel arrangements, meetings and conference calls. This is a high-profile position within the bank and the community, which requires professionalism and a proactive mindset. Technology and Innovation Division As a member of City National’s Technology & Innovation group, you will drive, develop, and maintain solutions for clients and colleagues. This is an exciting time of technology advancement and innovation across the bank, particularly within our technology teams. WHAT WILL YOU DO? Manage the Executive’s schedule, calendar and details associated with various community and personal events Coordinate projects, managing confidential assignments, as well as coordinate executive travel arrangements, meetings and conference calls. Prepare recurring and ad hoc reports and presentation materials. Coordinate, schedule and attend various meetings; take and disseminate notes and track follow-up items. Acts as a gate-keeper so the Executive can prioritize and maintain productivity. Compose and preparing confidential correspondence, reports and other complex documents Functions as a liaison to the Executive through regular interaction with all VIPs, including clients, bank executives, and colleagues Develops effective relationships with colleagues. Plans and coordinates travel and manages expense and reimbursement process. Completes all required training. WHAT DO YOU NEED TO SUCCEED Must-Have H.S. Diploma Minimum 3 years executive administration or project coordination experience required. Minimum 3 years of advanced computer experience required. (eg. Microsoft Word, Excel, Outlook, and Powerpoint.) Skills and Knowledge Must be a self-starter and strategic thinker with the ability to take-charge and work well under pressure. Requires the ability to multi-task and prioritize and manage projects. Excellent verbal, written and interpersonal communication skills required to communicate effectively with all levels of bank colleagues and clients. Requires excellent organization skills and attention to detail and the ability to work independently without direct daily supervision. Highest level of discretion and integrity when handling confidential matters. Self-motivated to learn and acquire new professional and personal skills as needed with a willingness and enthusiasm for self-discovery as it relates to personal success and accountability in the professional area. Must be a team player. Must be able to re-prioritize and re-focus energies. Strong analytical skills. Excellent project management skills. Must be proactive and able to think ahead. Proven organizational, interpersonal and customer relationship skills strongly preferred. Bachelor’s Degree preferred Previous experience working in a fast-paced, high-volume, deadline-oriented environment preferred. Compensation Starting base salary: $36.08 – $45.45 per hour. Exact compensation may vary based on skills, experience, and location. This job is eligible for bonus and/or commissions.
