He or she is an excellent communicator serving as a central contact for both internal and external communication for the department.
This position is able to anticipate the needs and is able to handle multiple priorities, schedules, and deadlines with ease and efficiency.Duties & Essential Functions:+ Plans and manages an active calendar of meetings for the Director of Talent Partnerships and Senior Partner Manager.
Ensures the schedule is followed and respected+ Manages daily email organization and disseminating of information+ Monitors and facilitates all tasks from emails that are needed+ Anticipates and understands department needs and take a proactive approach+ Follows up with business contacts made by Director of Talent Partnerships and Senior Partner Manager and supports the cultivation of ongoing relationships+ Maintains and updates talent database+ Provides smooth communication on behalf of talent department with internal departments, and others, on matters related to Director of Talent Partnerships and Senior Talent Manager initiatives while demonstrating leadership to maintain credibility and trust+ Prioritizes and communicates concerns addressed to Talent Department+ Arranges complex and detailed itineraries and agendas for talent events such as VidCon, Playlist, etc.+ Attends meetings and or listens in on meetings as needed to take notes, organize, and identify and follow up on any action items needed+ Prepares and submits expense reports for Director, Talent Partnerships and VP, Talent Partnerships+ Keep Talent Department well informed of upcoming commitments and responsibilities and follows up appropriately+ Identify new talent prospects based on company objectivesSkills and Qualifications Required:+ 1-2 years assistant experience, especially providing assistance to a high level position in a talent, PR, management, or digital agency+ Ability to communicate (verbal, written) timely and effectively, both internally and externally+ Ability to prioritize tasks while being resourceful, solutions-oriented, and highly organized+ Ability to effectively manage multiple calendars+ Ability to learn on-the-go; self-starter+ Ability to anticipate needs and be two steps ahead+ Ability and desire to represent the department in multiple settings+ Microsoft suite (intermediate)+ Google suite (intermediate)+ Bachelor?s Degree, preferred+ YouTube Certified, a plus
