– Head and Neck is seeking a residency coordinator for our residency training grant.

The duties of this position will include reporting requirements tracking and facilitating residency training grant activities, fulfilling sponsor’s online report per the terms and conditions of the agreement, as well as following university and hospital policies, and federal regulations and requirements.

The coordinator will serve as liaison and active partner between mentors and residents and medical trainees.

Performs administrative duties in support of the Graduate Medical Education (GME) Program including but not limited to; helping to oversee and address needs of the medical students and residents, coordinating GME resident recruitment and selection, acting as a program liaison with internal/external contacts including potential candidates, faculty, GME office personnel medical students, administration, and other institutions.JOB DUTIES AND RESPONSIBILITIES:This position will coordinate the administrative functions of a new resident training program and assists Program PI to ensure compliance with standards established by the ACGME and other relevant regulatory agencies, including the following:
• Demonstrates knowledge of ACGME requirements, Joint Commission rules and Department of Health (DOH) regulations regarding the GME program and helps assures adherence
• Prepares and maintains all documents associated with ACGME accreditation and assists Program Director and Department Chair as necessary with completion of documents
• Monitors and maintains all credentials for GME training (including resuscitation courses, annual fit testing, health assessments, etc.)
• Enhances professional growth and development through participation in ACGME meetings, educational programs, in-service meetings, and workshops
• Develops and generates a variety of reports and materials for the GME program, including:+ Reports for the Graduate Medical Education Committee (GMEC)+ Monthly, semi-annual and annual evaluation reports (performance of residents, faculty, outside lecturers and the program)+ Annual NIH reports on trainee registrations and data tracking
• Collects and compiles information necessary for submission of all third-party reimbursement activities for direct and indirect medical education reimbursement
• Coordinates resident recruitment sessions for program and program marketing, including recruitment informational materials, website information and edits these materials with the Supervisor
• Coordinates all aspects of applicant interviews (invitation, scheduling the interview, paperwork, catering arrangements, room reservations, etc.)
• Responsible for arranging all meetings, conferences, interview sessions, faculty meetings, and other conferences and special events related to the residency program.
• Performs other duties as directed by the Supervisor and/or Program Director.MINIMUM EXPERIENCE/REQUIREMENTS:
• 2+ years of equivalent experience in residency coordination
• Ability to work independently and meet deadlines
• Ability to handle confidential matters with appropriate discretion
• Superior communication, detail-oriented, interpersonal and organizational skills
• Proficiency in the use of Microsoft Office and other software
• Working knowledge of SIS or other electronic resident evaluation system (preferred)DESIRED QUALIFICATIONS:+ Working knowledge of ERAS (Electronic Residency Application Service)+ Working knowledge of NRMP (National Resident Matching Program) and all deadlines+ Retrieves applications via the Electronic Residency Application Service (ERAS)+ Previous experience with NIH grant, medical or resident program.+ USC or Academic Institution experience preferred..WORK STANDARDS:
