Job Description  
A private individual seeks an experienced, detail-oriented Executive Personal Assistant to be their right hand. The right candidate will be outgoing, energetic, flexible, resourceful, and adaptable while managing multiple tasks and projects. Responsibilities include but are not limited to:
  • Responsible for organizing and managing a heavy travel and meeting calendar with a complex schedule of business and personal matters
  • Manage daily briefings on email and video conference for questions and updates
  • Office administrative tasks and responsibilities pertaining to principal 
  • Assist with event & logistics planning for business and personal, dinners, social gatherings, philanthropy, etc.
  • Assist with managing media-outlets, clients and vendor relationships
  • Responsible for personal shopping, executing special requests, running errands, and related duties as needed
  • Responding to a heavy volume of phone calls and directing messages accurately
  • Booking any appointments, private & commercial flights, travel arrangements, and organizing detailed itineraries.
  • Drafting email and mail correspondence as well as coordinating mass e-mails
  • Collaborate with other staff to manage and execute events
  • Act as primary gatekeeper and liaison for principal
  • Demonstrated excellence in organizational, presentation, administrative, and management skills
  • Experience in modern office procedures and technology
  • Thorough knowledge of record keeping, expense management, and other administrative procedures
  • Global awareness and impeccable attention to detail 
  • Demonstrated teamwork ability

  • Tech Savvy: software tools for word processing, presentation, and spreadsheets. 
  • Concise communicator with an ability to take complex situations/requests and simplify without direction into manageable steps towards accomplishment
  • Ability to proactively think through and research multiple options for travel, events, and logistics and present vetted options coherently and thoughtfully
  • Exceptional direct and clear communication, tech skills, organization, proactive focus
Schedule: This is a full-time position with a 5-day workweek. Typical schedule is Monday-Friday 9 AM – 6 PM with flexibility to work overtime is needed. 
Travel: Must be flexible to travel domestically about 25%. 
Compensation: Salary is generous but DOE benefits package included. 
Job Requirements:
  • Minimum of 3-5 years related experience supporting prominent individuals; both in personal and business capacities
  • Minimum 4-year degree from accredited College or University
  • Excellent references from both current and previous employers
  • Prioritize executive tasks and multi-task effectively
  • Strong communication skills, both written and verbal
  • Proficiency in all areas of Microsoft Office and Mac OSX; must be very tech-savvy
  • Experience planning, managing and executing of events and gatherings
  • Professional mindset and the utmost discretion
  • Ability to work independently and as part of a team
  • Detail-oriented with exceptional organizational skills
  • Flexibility with hours and schedule; available to work overtime as needed
  • Must have a valid passport and availability to travel to international and domestic locations
  • Valid US work authorizatioN
