Membership and Development Assistant

The Ebell of Los Angeles is an educational and philanthropic organization founded by women, for women in 1894.

Our mission is to participate in and encourage the educational, cultural and social growth of the diverse Los Angeles community and to conserve and protect our historic Clubhouse, collections and the Wilshire Ebell Theatre.

The Ebell supports dozens of non-profits and scholarships, in addition to hosting special events, live music, dinners and community forums.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Membership: Working Directly with Director of Membership and Programming
Assist in preparation for committee and board meetings
Prioritize urgent messages immediately; where appropriate, connect the potential members and supporters with relevant departments/managers/members
Helps to plan, organize, coordinate and attends club events by providing support; track and manage rsvps for all Zoom and in-person events
Manage club calendar including committee meetings, club events and zoom and in-person events
Process all primary sources of ticketing and event revenue, make and track deposits; assist with payments and accounting reconciliation for all events; management of membership renewals
Club event check-in host and cashier; responsible for any other cashiers and payments to vendors
Assist with creating seating charts and table schematics for club events
Represent The Ebell Club at networking and community events
Development: Working Directly with Executive Director
Support Executive Director in fundraising activities by researching donors, preparing for and coordinating meetings, tracking logistics for events, generating donor data reports
Responds to donor inquiries and requests for information
Maintain development database, regularly update contacts: members, donors and others
Assist in development of fundraising events; track responses to invitations, coordinate with event vendors, process payments as needed, trouble-shooting before and during events
Process contributions and pledges, reconcile with accounting department; generate donor acknowledgement letters including hand-written cards
Maintain comprehensive filing system for receipts, invoices, member information, tax letters and other information
Additional duties as this new position and organization function evolves
Administrative:
On a daily basis, schedule and confirm appointments, maintain calendar, assemble/prepare marketing materials, answer phones, prepare correspondence, maintain several databases, set up and maintain files
Update and maintain donor and member database management systems
Prepare and coordinate mass mailings
General office administration
Respond to phone, web and email membership inquiries within 24 hours; use templates to address questions thoroughly
QUALIFICATIONS:
Must be extremely trustworthy and show a high level of integrity
Must have excellent writing skills and the ability to communicate with a variety of individuals and groups both in writing and verbally
Must have prior experience of forward-facing communication with the public
Must have ability to work both independently and as part of a team
Must be an active listener and problem solver
Must be patient and diplomatic when working with donors, prospects, members and advisors
Must be flexible and adaptable, able to think creatively while multitasking
Computer Experience: proficient with Microsoft Office programs, Outlook; Northstar database experience a big plus
EDUCATION AND EXPERIENCE:

Bachelors Degree preferred; Associates Degree or equivalent accepted

2-3 related experience and/or training

Non-Profit experience strongly preferred

Some accounting experience strongly preferred

Proficiency in Excel, Word, Outlook and Powerpoint a must, Northstar software a big plus.
