Fuel Cycle: Executive Assistant

About the Role:The Executive Assistant will be supporting the CEO and C-Suite Executives while managing all administrative duties for the Fuel Cycle offices (LA, NY, and global operations).

You will be responsible for managing meeting calendars, coordinating travel, accommodations, handling all company events, and performing additional projects as needed.

A successful candidate will provide high-quality administrative and clerical assistance to top-level executives.

The Executive Assistant will have strong organizational skills, be proactive, self-motivated, hands-on, flexible, and able to simultaneously manage diverse responsibilities with a strong emphasis on communication and attention to detail.

At Fuel Cycle we foster a culture of customer obsessed individuals who empower each other to work passionately and deliver an extreme impact to our customers.What We offer * Health/Dental/Vision Insurance – Fuel Cycle covers 100% of the employee’s medical premium up to $550 per month * 401K match – 100% of contributions up to 6% * Flexible Work Schedule – Hybrid or Remote work options / COVID safety * Generous Parental Leave – 12 weeks of Parental Leave * Generous PTO Policy – 2 weeks PTO, 6 Sick Days, 3 Floating Holidays, 4 Recharge Days * Commuter Benefits/Free Parking * Pet Friendly Offices * Fully Stocked Kitchens * Awarded recognition for: Professional Development, Diversity, Company Culture, Fastest Growing Private Company Where You’ll Make An Impact: * Manage C-Suite Executives’ appointment schedules planning and scheduling all meetings, accommodation, and travel * Identify and address the needs of leadership and perform administrative tasks to ensure our company’s workflow runs smoothly * Act as the point of contact among executives, employees, and other external partners/clients/vendors * Act as the point of contact for building management and facilities team for both LA and NY offices, oversee any repairs, construction, or equipment building requests and manage completion of projects * Responsible for sending all companywide communication emails and partners with HR to develop and implement office policies setting up processes necessary to guide the operation of the office * Prepare presentations, manage and coordinate meetings for Leadership team and Board of Directors * Manage Café Lounge and Game Rooms keeping them well kept, organized, and well stocked by managing weekly food orders, and monitoring inventory level of office supplies as needed * Coordinate logistics and catering needs for offices including companywide meetings and team building events * Greet and manage visitors with appropriate teams and support all office logistics for on-site client visits * Supports the CFO and Finance teams opening, sorting, distributing, and scanning all incoming/outgoing mail correspondences handling any additional office duties as needed You’ll Be Successful If You Have: * Bachelor’s degree desired * Two or more years’ experience in an administrative role supporting C-level Executives * Passion for supporting executive teams, working in technology and making a major impact in a tech startup * Proficiency in Excel, PowerPoint and Outlook is required * Professional written and verbal communication skills * Ability to act without guidance * Ability to be discrete and maintain confidential information * Ability to work with customers and clients and be comfortable conducting negotiation terms as needed in a professional manner * Strong project management and time management skills * Self-motivated, flexible and organized * Energetic professional who doesn’t mind wearing multiple hats * Consistently proactive while using strong decision-making skills to problem solve * Team-player who operates in a fast-paced team-oriented setting and is enthusiastic about assisting others when needed
