The Role

The Digital Production Crew Coordinator will be responsible for managing the crewing, equipment and logistics of digital field productions and small stage shoots for up to three creative verticals, supporting third party and in-house digital shoots throughout the US.

Requirements

The Responsibilities
Working out of a central hub, work closely with Creative Producers and Production Management to coordinate the logistics and planning of digital field productions and small stage shoots throughout the US for up to three creative verticals; troubleshoot issues in a timely manner
Source and create a robust roster of freelancers throughout the US to support digital field shoots and stage shoots; hire as needed and liaise with Finance and Legal for contracts, invoicing and start paperwork; track paperwork
Source and onboard third-party Production Companies to handle week-to-week production; ensure clear communications
Source camera, audio, lighting equipment and other rentals in various locations throughout the US; coordinate shipping as needed
Attend planning meetings, as necessary, to determine resources and logistics required for successful execution of shoots; balancing between creative and financial priorities
Effectively communicate with internal departments and external partners through all phases of production using standard production paperwork, production management software, internal and external trackers and databases; provide timely status updates regarding deadlines
Work with field crew to reconcile expenses and track actuals; coordinate the gathering, submitting and tracking of invoices for all freelancers and vendors
Maintain and update internal and external facing documents related to guidelines, calendars, contacts and various other department related documents; create and maintain G-Drive folders
Coordinate crew travel and overnight stay if needed
Perform all duties of a production crew coordinator as commonly known in the media production industry
The Qualifications
BA/BS degree or equivalent practical experience
2+ years of Production Coordinator, Scheduler, or business operations experience in entertainment with access to a robust network of freelance crew; on set digital experience a plus
Requires knowledge of standard crew roles along with an understanding of required experience to perform each role for digital productions shoots from pre through post production
Practical understanding of current video production equipment and technology
Interest and/or experience working with digital Creators
Ability to work efficiently across all levels of management, talent, crew and staff
Self-motivated, proficient multi-tasker, able to stay organized with multiple simultaneous projects
Enthusiastic team player able communicate succinctly, emanate calm and remain focused in a growing, changing environment
Adept at prioritizing, anticipating potential issues, identifying problems, recommending and implementing solutions
Proven ability to work effectively in a high-pressure, fast-paced environment
Positive attitude with the ability to be flexible
Excellent organizational, verbal, written, e-social skills and acumen
Working knowledge of social video content distribution platforms including YouTube, Facebook, Snap, IGTV and TikTok
Must be familiar with Movie Magic Budgeting, Monday.com and Airtable
Must be proficient with Google Workplace (formerly G Suite), Gdrive, Google Slides and Dropbox
Flexibility for occasional travel to set and studio as needed
Must we willing to work across multiple time zones and solve for last minute crewing changes/requests on a “on call” basis
Ability to attend the occasional meeting that can be as early as 7AM PT to accommodate international time zones
