Aristotle is seeking two Executive Assistants for each of our Southern California offices in Los Angeles and Newport Beach .
The right candidate is a self-starter with excellent judgment, exceptional communication skills, strong customer service and professionalism.
You will undertake a wide range of complex tasks and activities that require interacting with high profile internal and external contacts and information of a confidential, sensitive, or technical nature that assist in the operational functions of the firm.
We are looking for someone with 5 years of experience who will bring innovation and ideas that will enhance our firm and will swiftly adapt to a dynamic environment.

What You Will Do:
Extensively manage calendars.
Plan, negotiate and schedule meetings to accommodate executive and others.
Use discretion and judgment to determine the priority of meetings.
Reschedule existing meetings if needed to accommodate meetings with more urgency.
Keep executive informed of upcoming appointments and deadlines.
Coordinate meetings with internal employees and external contacts.
Schedule and prepare meeting rooms, order catering, visitor passes, and equipment as required.
Meet, greet and escort visitors, meeting attendees and candidates.
Draft, collect and distribute supporting documentation to prepare the executives for meetings.
Manage complex travel arrangements.
Reserve transport and accommodations taking into consideration executive preferences, cost, and timing implications.
Ensure that executives have necessary paperwork for travel (e.g., tickets, confirmation numbers, visas, itineraries).
Sales & Marketing Team support.
Develop reports and monitor news deadlines from various sources to identify possible leads.
Pipeline follow-up regarding the coordination of calls or meetings and necessary materials needed.
Head the communication with prospects and clients.
Manage Salesforce CRM database.
Input new contact information, meetings scheduled, meeting notes, updates, etc.; review the system monthly for accuracy of inputs/updates.
Communication and Ad-hoc Requests.
Manage communication with the Institutional Services and Corporate Administration Teams and assist the Vice President of Corporate Administration with special projects as needed.
What You Will Need:
A minimum of 5 years of previous Executive Assistant or similar experience supporting more than one senior manager in a corporate environment.
Strong problem-solving skills with initiative to work independently and support managers proactively in a team environment.
A consistent and dependable sense of urgency .
Strong organizational skills with attention to detail and follow through.
Awareness that visibility is critical and communicating priorities is paramount. Effective verbal and written communication skills.
Experience with extensive electronic calendaring using multiple platforms.
