Executive Assistant (Contract to Start) To $100k (Remote Option in NC)

Our client, an NC-based financial institution in very high growth mode, is actively recruiting for an exceedingly competent and self-directed candidate to support two senior level executives.

These executives (one in NC, one in MA) have exceptionally busy schedules. They travel frequently and have near-constant meetings with clients, other departments, other executives and other branches. It is essential that they have the right deputy who can support them in their absence. We seek a seasoned and savvy EA.

Compensation will be generous — in the $90s to low $100s.

Key Things to Note:

This is a contract role intended to extend to October, 2024. There is some potential of extension and/or longer-term needs.

This position can be remote but only in the Raleigh or Charlotte areas. There is occasional need for on-site presence.

Regarding Tasks:

  • This is a heavy calendaring role. In addition to the near-constant meetings noted above, the environment is highly dynamic and frequent changes occur. Need candidate with exceptional knowledge of Outlook and outstanding organizational and detail skills. Patience and flexibility will also be important.
  • This role will involve extensive travel coordination. Travel (and expenses) is done through Concur. Seek candidate who is proficient with the software.
  • Role will also involve extensive meeting planning (both large and small meetings). Seek skilled, proactive and resourceful project manager who understands the nuances of planning and executing a successful meeting.
  • These executives produce complex and voluminous reports and presentations. They rely on their Executive Assistant to ensure that the reports are clean, correct and timely. Seek candidate with a keen eye for detail, strong numerical acumen and the ability to accurately proof documents to original sources.
  • The organization uses the MS Office Suite, including TEAMS. Proficiency is expected and required.

Both executives have large teams. This Executive Assistant will regularly interface with (and sometimes support) other team members. Seek great communicator and collaborator.

This is an immediate need.

The goal is for this EA to successfully assume responsibility for administrative tasks so that the executives can focus on their areas of expertise. Job ownership, resourcefulness and the desire to make a difference will be key.

Requirements include 4+ years of Executive Support experience, ideally in a financial or other professional services environment (not required but nice to have). BA/BS preferred.

Extensive calendaring, travel and document production is assumed and required.

In addition, we seek a skilled point-person who combines smart organizational skills with advanced MS Office proficiency, polished communication skills, great business judgment and a positive, solutions-oriented work style.
