Executive Assistant, AEC Design Experience and Analytics

Job Requisition ID 22WD62118Position OverviewLooking to be part of a team that builds cohesive, frictionless, and delightful experiences?This position supports two Senior Directors in the Experience Design Group that transform how people use Autodesk’s Architecture, Engineering, & Construction (AEC) Design solutions.We seek someone driven and organized who will handle a wide range of administrative tasks and will proactively anticipate and address needs ensuring efficiently functioning teams.This position is hybrid eligible.ResponsibilitiesManages and maintains calendars, coordinating with others on priorities and conflictsManages business travel arrangements, tracks expenses, and generates expense reportsProvide meeting support (in partnership with Design Operations) to prepare agendas, take notes and distribute meeting minutes and presentations.

May track action items and communicate statusCoordinates events and quarterly meetings virtual and in-person (onsite and offsite), including preparation of meeting materials, activities, and logistics, including working with the Autodesk special events team and site office personnel as neededManage budget and departmental costs.

Manage vendor contracts and ensure department bills are paid in a timely mannerResponsible for general office administration and for drafting memos, communications, emails, etc.

May work with our facilities department to coordinate space planning for our teamsCreates presentations and maintains organization charts.

Facilitate broad team communication, maintaining email aliases and slack channels including managing permissions.May be responsible for maintaining and updating SharePoint or Wiki websitesDevelops and maintains positive working relationships with staff, internal departments, and outside parties, including high-level contacts of a sensitive nature.

Manages information flow within and outside of business unitMaintains confidential material related to employees and company operations.

Coordinates new hire processingMinimum Qualifications5 years’ experience providing administrative support for senior level executivesAbility to work in a fast-paced work environment that requires strong multitasking skills, time management, and attention to detailWilling to adapt to rapidly changing environment and new processes and responsibilitiesProven ability to work under pressure, communicate effectively, and meet deadlinesProficient in Microsoft Office Suite, Mac and Windows operating systems and related business applications such as Slack, Microsoft Teams, Microsoft SharePointExcellent oral and written English communication skillsTeam player who is results-oriented with strong interpersonal skillsAbility to travel to events or internal meetings, locally and internationally (when possible and as needed)The Ideal CandidateYou have a lot of initiative and are a self-starter: You enjoy working on complex assignments with a team or by yourself to get things doneEnjoy working with other people: You believe that a high functioning team is critical to success.
