Motion Picture company located in Century City is seeking an Executive Assistant to CEO/Chairman. This position is responsible for providing a high level day-to-day administrative support.
Responsibilities
- Manage executives’ calendar and schedule meetings, follow-ups, and confirmations, both internal and external, for various time zones.
- Monitor incoming calls and roll calls as needed.
- Anticipate needs and provides administrative support to the executive.
- Generate and distribute materials emails as needed.
- Review and ensure executives’ needs are met for any domestic and international travel in partnership with the internal travel manager.
- Maintain any files, contacts, including confidential and critical documents.
- Manage incoming mail and prepare outgoing correspondence.
- Process and submit expense reports
- Other ad hoc duties/special projects as assigned.
- Respond to emails and document requests on behalf of executive
Qualifications
- 2+ years of Executive Assistant experience, at an entertainment company.
- Strong interpersonal and communication skills.
- Ability to assess and determine priorities.
- Must be able to perceive when an issue is sensitive and handle appropriately.
- Experience and knowledge of the entertainment industry.
- Ability to prioritize, manage, and track multiple tasks and action items simultaneously.
- Highly organized, proactive, and resourceful with problem-solving skills and a sense of accountability.
- Ability to self-motivate and work independently, be proactive, follow-up as needed, and see matters through to completion.
- Maintain a high level of discretion, confidentiality, and professionalism.
- Interact with all levels
- Must remain flexible, adaptable, and efficient and anticipate the needs of the executive.
- Proficient in Microsoft Office.
