Executive Assistant

Role

Our client is looking for a high-level Executive Assistant/Office Manager who is a quick learner, self-motivated, and has the experience of handling and prioritizing complex tasks/projects simultaneously.

Responsibilities

Daily responsibilities include, but are not limited to:
Report directly to CEO.
Schedule appointments and maintain and update daily calendar for CEO and provide some support to 1-2 other managers, maintain and update.
Review CEO’s email correspondence and determine appropriate action and prioritize accordingly.
Unsubscribe and delete junk emails.
Handle the emails he/she can handle independently and/or with some help or direction.
Forward to appropriate staff or outside consultants (e.g., Accounting Firms/Attorney/ Architects and other consultants) and follow up to ensure completion.
Review remaining emails and flag important or urgent emails for the CEO to respond.
Be welcoming to learning and completing new tasks in various aspects and/or other departments.
Manage and complete complex tasks by taking initiative, making prudent decisions and work using good judgement.
Manage their own daily tasks, tasks assigned by CEO and provide updates through completion.
Provide updates to CEO on delegated tasks to third parties and ensure desirable completion by deadlines.
Review and prepare reports as requested.
Handle personal errands as needed.
Coordinate or oversee events from luncheon, holiday party, small events as needed.
Qualifications
5+ years of experience in office administration experience or equivalent combination of education and experience sufficient to successfully perform the essential duties of the job listed above.
Well organized, multi-tasker who can adapt to shifting agendas while maintaining a strong attention to detail.
Strong record of success in previous employment.
Effective verbal and written communication skills.
Be polite and respectful with clients, guests, and co-workers.
Proficient in Microsoft Office, PowerPoint, Excel and web technologies.
Job Type: Full-time

Pay: $50,000.00
– $70,000.00 per year

Schedule:
Monday to Friday
Work Location: One location
