Events Specialist

This team manages vast content commercialization and distribution ecosystem that delivers the Company’s unparalleled storytelling to audiences worldwide. This entails P&L management and operation of the Company’s portfolio of streaming services and the international general entertainment offering; its linear television channels and the owned stations; theatrical film distribution; content licensing and distribution, including The Company’s Music Group and their legendary Theatre; advertising sales; and the technology that powers these groups. Using a wealth of consumer insights from across The Company, this program makes content investment and distribution decisions to maximize audience engagement and commercial impact across platforms, collaborating with creative leaders in Studios, General Entertainment, Internal Content & Operations, and Sports organizations.This position will assist in coordinating and/or working the program’s virtual and live events, from small client dinners to large conferences, from the early stages of conception to completion. Primary focus is assisting with AV, creating and/or running presentations, creating invites and weblinks for virtual meetings/webinars. Coordinate logistics, travel, and catering. Manage PO creation and invoice payments. Manage smaller events.Responsibilities: Organize virtual & in-person event production as needed including scheduling of Zoom webinars, meetings and virtual break-out rooms, & securing onsite event locations. Sharescreen and help run video and/or slide presentations. Assist as needed with Q&A and Chat functions. Ensure all Audio Visual needs, including building and running presentations for events, are in place ahead of event date. Assist Project Manager with coordinating logistics: reserve space, catering, décor and travel. Hire and schedule talent Hair & Makeup as needed. For live events, oversee vendor load-in and strike, check-in guests, setting up signage, transportation & parking Proactively trouble shoot and bring forward any arising issues to Project Manager leading up to and/or on the event day. Possibly project manage smaller events. Project Manage smaller scale events both virtual (Zoom meetings and webinars) and live. Coordinate smaller on lot conference room meetings including drive ons, catering and a/v. Consistent update of internal documents including, Smartsheet Events Dashboard and calendar Create internal deck presentations and event wrap reports Finance: complete expense reports, create Purchase Orders, process invoices and all other payment, create and update budgets for events Assist with researching premiums and branded collateral Market intelligence: track current and new technology for events, research event venues, new vendorsBasic Qualifications:* Enthusiastic, eager to learn and willing to take on new challenges* Strong organizational and administrative skills; able to problem solve* Be a team player and capable of working independently* Ability to interface with all levels of management, executives and clients* Sound work ethic, self-motivated and proactive* The ability to prioritize and multitask* Proficiency in MS Office, Keynote and/or PowerPoint* Working knowledge of virtual platforms including Zoom Meetings and Webinars* Hybrid flexibility is dependent on event projects; able to work extended hours nights/weekends and travel as needed* Experience in Audio Visual preferred but not necessary* 3-5 years’ experience working in corporate events* Previous experience working in entertainment preferred but not necessaryPreferred Qualifications: Experience in Audio Visual preferred but not necessary Previous experience working in entertainment preferred but not necessaryRequired Education: Bachelor’s degree in related fieldClient DescriptionThis legendary company has entertained, informed and inspired people around the globe for over 90 years.
