Concierge/Hospitality Associate

We are seeking a Concierge-Hospitality Associate
– An experience individual with a complete comprehension on how to deliver a sophisticated customer service experience, paired with a 5-star, white-glove service.

Duties Include:
Deliver a superb customer service experience to Clients, Visitors, Guests, and the Firm.
Meet, greet and welcome all internal and external visitors; assist with coats, luggage, etc.
Book, schedule, and coordinate meetings through an electronic calendaring system
Plan, order, and coordinate delivery of all catering for meetings and events, with special attention given to cuisine preferences, dietary restrictions, cost requirements, and other requests, including for “virtual” and off-site meetings/events.
Performs a variety of light clerical duties
Maintain precise records of all catering billing/invoices, and assist office management and finance team as needed to manage these expenses.
Create and maintain records for Kastle key inventory, parking passes, and supplies inventory.
Answer phone calls, take messages and re-direct calls accordingly
Prepare barista-quality coffee and espresso drinks and deliver to client meetings
Execute room set-ups and catering delivery for all meetings and events, according to Firm standards.
Work with client to plan and execute events, both internal and off-site, including hiring of vendors, approving menus, and providing on-site set up and direction.
Serve as concierge to the office, assisting with ticket purchases, directions, travel/transportation and recommendations/reservations for dining, entertainment, and cultural attractions
Coordinates with attorneys and assistants to purchase and/or ship client gifts to various locations (worldwide)
Maintain inventory of necessary Kitchen/pantry items, also office supplies
Suggest improvements to current processes to maximize operational efficiency
Coordinate and assign visitors with access to building and visiting offices.
Coordinate and communicate with AV and other business services teams to ensure seamless coverage for meetings.
Monitor condition of carpets, floors, lighting, furniture, and restrooms and submit work orders as needed to Facilities team and building management.
Follow through on all tasks and special projects as directed by management.
Requirements
Project professionalism, maintain immaculate polished grooming image, and demonstrate a positive and welcoming comportment toward all colleagues and guests.
Provide concierge-level customer service, with an eye toward anticipating needs and going above and beyond client expectations.
Excellent oral and written communication skills as well as presentation skills to interface with all levels of management, associates, and vendors.
Strong computer skills especially Microsoft Office and knowledge of office technology/equipment.
Ability to multitask, keeping up with daily email correspondence, meeting information, data entry, client requests, and office records, all while maintaining composure and a high level of professionalism.
Discreet, ethical and committed to maintaining a high degree of confidentiality.
Flexibility to accommodate client needs (early mornings, evenings, and weekends if necessary).
Able to work well in a team setting and inspire and motivate for a successful outcome
Innovative, with an understanding of meeting set-ups and/or event presentations
Strong sound comprehension of hospitality skills
Knowledge and experience with meeting room booking software (EMS preferred)
Understanding of basic audio-visual technologies
Strong knowledge of restaurants, hotels, cultural attractions, and events in the area for the purpose of assisting with concierge-type requests
Hospitality (hotel, fine dining, etc.) experience required
Law firm background (or similar) preferred
Able to lift objects of 20 pounds and/or greater

High school or equivalent (Required)
