Position Summary:

The Grants Management Business Systems Analyst (BSA) is responsible for engaging stakeholders to understand opportunities for process automation and/or enhancements of business systems that enable the foundation’s grantmaking.

The BSA then manages those projects, gathers requirements, conducts proof-of-concepts, presents potential solutions, and then leads quality assurance testing, coordinates deployment, and conducts training to ensure adoption.

The BSA works cooperatively with foundation staff to identify and resolve system issues and bugs, discover, and implement opportunities for improvement, and facilitate the adoption and foundation-wide usage of the systems used in grantmaking, namely the grants management system.

As a member of the Grant Operations department, the BSA works independently, exercising judgment and discretion with multiple staff levels, external partners, and vendors.

Position Duties and Responsibilities

Project Management
Performs cross-departmental outreach and aggregate feedback from throughout TCE to identify, recommend, and prioritize improvement opportunities to current tools and technology systems.
Engage and manage vendor partner relationships to implement changes to TCE’s grantmaking technology systems, including escalating bugs and issues, testing and scheduling routine updates, and scoping, testing, and releasing enhancements and system improvements.
Create and utilize a quality assurance approach for testing to ensure that all changes to grantmaking technology systems are released without negative business impact.
Data Health & Analysis
Holds the Systems Administrator role within TCE’s Grants Management System and manages user roles, permissions, and data accessibility.
Understands the grantmaking data collected and stored within the grants management system and other supporting technologies and designs and presents business intelligence reporting to help individuals and the organization make better decisions.
Assists in the creation of long-term strategic goals for high data quality and appropriate data use and continuously monitors data quality, data migrations, and data integration.
Training
Assess ongoing training needs of TCE and our partners and create and deliver training utilizing a variety of training solutions.
Provides general support and incident analysis for reported bugs and issues and escalates appropriately for resolution.
Provides technical advisory services and support for the technology tools involved in the grantmaking lifecycle, including but not limited to the Grants Management System, document management, and electronic signature tools.

Continually updates personal knowledge of grantmaking technology systems through participating in vendor-provided training, industry affinity groups, and additional professional development opportunities.
Business Process Improvement
Understands TCE’s grantmaking policies and procedures and maintains a deep understanding of the technology systems that support them.
Evaluates and reviews technology-enabled process workflows to assure alignment and compliance with policy requirements, focusing on the least restrictive configurations to achieve the desired outcome.

Minimum Education, Qualifications, and Experience:
Bachelor’s degree in Business, Project Management, Computer Science, or closely related field and/or equivalent training/experience; Master’s degree preferred.
Minimum 3 years of experience managing and/or performing related technical, operational, and project management responsibilities.
Strong organization and time-management skills to prioritize, delegate tasks, and set goals for productivity.
Creative problem-solving, research, and analytical skills to approach problems and solutions from multiple angles.
Effective communication, collaboration, and facilitation skills to inspire and engage staff at varied levels of technical acumen to translate business requirements into technical solutions.
Basic understanding of adult learning theory, creating learning outcomes, and curriculum development.
Knowledge of CRM and data management software.
Experience with business intelligence platforms, such as Tableau or PowerBI, and connections to live data sources, such as OData.
Familiarity with technical training tools, such as WalkMe or Adobe Captivate, and experience with technical writing for the creation of job aids and supports.
Strong computer software skills with a specific focus on advanced Excel, survey creation methodology and tools, Adobe Acrobat Pro, and DocuSign or electronic signature tools.
