Job Summary:
The Associate, Grant Office is an essential team member that will be primarily responsible for coordinating the activities of the Grant Office Program.

In addition, they will support the Medical Affairs Operations and Clinical teams.

Specific responsibilities include administering all requests submitted through the Request Management System (RMS) by coordinating the intake of new medical education grants, sponsorships, and donation requests, preparing the agenda for Grant Committee, processing Letters of Agreements, and monitoring the throughput.

This individual will help support other Medical Affairs programs relating to training, research, & innovation, as time allows.
This position reports directly to the Manager, Grant Office.
Essential Functions:
Associate, Grant Office
Nearly 70%-80% of time will be working with our Grant Office Program, which supports the Core Values of our organization.

This will require a dynamic person who possesses passion for advancing medical education & training when interacting with Clinical Leaders, Teaching Programs, Surgical Societies, Charitable Organizations, and KARL STORZ colleagues.

This person must adhere to the requirements of Federal & State Regulations, KARL STORZ Policies and Grant Committee processes, while maintaining Service Levels on communication.
Manage general inbox for inquiries
Coordinate intake and review of medical education grants, sponsorships, and donation requests
Responsible for monitoring all inquiries or submitted requests
Review requests for accuracy and completion
Follow-up with requestors for missing information
Monitor progress throughout the review process ensuring timely review
Be a strong Compliance advocate to flag any requests requiring further review
Prepares agenda for Grant Committee meeting
Attends all Grant Committee meetings to take notes on decisions and action items
Coordinate decision and agreements with grant recipients
Prepare Letter of Agreements for execution with recipient of each award
Prepare Decline Letter for all requests that are denied
Align with Specialty and Meeting & Conventions team for all equipment loans
Supports inquiries from Legal, Compliance, Internal Audit, Tax, and other groups for documentation and reporting on medical education activities
The remainder of time will be spent contributing to the following areas for the Medical Affairs team.

These activities will require attention to detail, organization skills, and taking initiative.

We are a small but efficient team that touches numerous activities throughout the day.
Medical Affairs Support
Manage general inbox for inquiries
Draft Medical Affairs documentation in adherence to ISO Standards for Quality Management and in alignment with Government Regulations and KARL STORZ Legal & Compliance Policies
Submit payment requests (invoice process)
Ongoing support for the department including but not limited to scheduling, organizing files, calendar management, conference room management, and event management
Program Management Support
Draft Contracts and Letters and route for electronic signature
Order submission
Milestone & Utilization Outreach

Essential Elements:
Reports directly to the Manager, Grant Office

Travel up to 10% to Clinical Training & Innovation Centers, top-tier teaching hospital and medical schools and/or to major medical society’s annual meetings.

Demonstrates strong commitment to process and collaborating with internal and external stakeholders

Ability to present to stakeholders and management team on status of programs both verbal and written.

Critical-thinking ability with a focus on improving processes

Possess exceptional organizational skills and the ability to multi-task

Protects employee and requester confidentiality

Ability to build relationships, both internally and externally
Qualifications:
A minimum education level of a bachelor’s degree in a related field is preferred

2 to 3 years of professional experience, ideally in healthcare or medical education.

Possess excellent multi-tasking, project management, analytical, and time management skills

Demonstrated strong professional spoken and written skills in communicating with coworkers and investigators in one-on-one, small group, and large group situations

Must have advanced experience with Microsoft Word, Excel, PowerPoint, and SharePoint programs.
