The Associate Dean of Admissions oversees all aspects of admissions recruitment and outreach efforts, which includes marketing, communications, admissions operations, and front-end customer service activities.
The Associate Dean serves as an expert regarding the college admission process and assists the Dean of Admissions develop strategic initiatives that promote enhanced student engagement and robust student recruitment.
This position reports directly to Dean of Enrollment Management.
Location
Responsibilities:
· Develops strategic recruitment outreach plans/programs and timetables in collaboration with supervisor to support the College’s overall enrollment goals.
Analyzes various trends, competitor approaches, and internal systems and operations affecting enrollment goals and the overall college-going student market.
Executes recruitment events both on and off campus and assesses recruiting effectiveness.
Recommends and develops new approaches to attracting the most competitive students to the College.
· Directly or indirectly supervises the efforts of admissions staff.
Determines staffing needs, establishes goals, allocates resources, and recommends to supervisor any salary adjustments, promotions, and/or job audits as needed.
Recruits, hires, and trains staff.
Conducts performance evaluations.
Counsels, disciplines, and/or terminates employees, as required.
· Oversees the implementation and development of the CRM .
Directs operations that ensure the accuracy and integrity of admissions data to produce reports that inform recruitment strategies and measure the effectiveness of various admissions tactics.
Conducts ongoing evaluative exercises to ensure overall operational effectiveness.
· Provides on-going assessment of progress toward departmental goals and effectiveness of recruitment and travel efforts.
Provides guidance to Admissions Counselors on policies and the transfer credit evaluation process.
Works with the Transfer Admissions Counselor to devise strategies to recruit transfer students and build relationships with community colleges.
Reviews and evaluates existing strategies and modifies as needed.
· Develops operational processes and procedures that enhance and improve the applicant experience.
Advances efficiencies within the department.
Implements various technological and/or workflow improvements as needed.
· Develops and implements marketing plans, strategies, and materials aimed at enhancing recruitment and conversion of targeted program applicants.
Identifies marketing messages and maintains automated communication methods including content and layout design.
Seeks guidance from the Communications & Marketing department to maintain consistency with the College’s identity.
· Develops and implements policies and procedures that are compatible with College policies.
Responds to complex admissions policy issues.
Advises on the graduate admissions process and develops policies for MFA recruitment and applications.
Liaises with other departments, Chairs, and department heads regarding policies and procedures for new student enrollment.
Builds strong working relationships to develop an in-depth knowledge of each department’s academic requirements and special programs.
· Creates and gives public presentations as part of outreach efforts.
Represents the College to students, parents, alumni, high schools and community colleges.
Coordinates involvement of Otis College faculty and alumni at admission events to enhance recruitment and conversion efforts.
· Reviews and evaluates student applications.
Counsels students, parents, and others regarding admission policies and procedures.
· Directs the development and management of the department operating budget.
Monitors financial performance for variances or trends and adjusts internal financial procedures as needed.
Develops projections for short
– and long-term planning in collaboration with the Dean.
· Oversees the development of office communications, training programs, materials, and manuals for new hires, alumni, and faculty to facilitate consistent recruitment efforts.
· Creates targeted social media campaigns.
Develops and trains staff on procedures to monitor, proof, and update online profiles, specific content, and web updates before publishing.
· Oversees staff handling the mailings to prospective, accepted, and deposited students including the timing, design, and frequency of the communications.
· Facilitates staff meetings and departmental retreats.
· Oversees special projects as assigned.
· Maintains professional currency through active participation and leadership in associations and committees both internal and external to the College.
Maintains knowledge of nation-wide trends in higher education, financial aid, technology, and other areas relevant to enrollment management.
· Performs other related duties as assigned, particularly as it relates to enrollment management.
Must be responsive to work-related phone calls and emails during non-business hours on occasion.
Required Qualifications
Qualifications:
Bachelor’s degree and a minimum of 5 years of professional and/or administrative leadership required.
Computer proficiency in Microsoft Office and Adobe Suite required.
This position requires a rigorous approach to collaborating across academic and administrative departments.
Excellent communication skills, both orally and in writing, are needed.
Individual must be detail-oriented, self-motivated, and self-disciplined.
Demonstrated experience supervising staff and the ability to conceive of and manage a budget desired.
