General File Clerk

Overview: Position OverviewThe General File Clerk will be responsible for the maintenance and good order of customer files and for providing general support to the dealership staff at the direction of the Office Manager or Controller.

What are the day-to-day responsibilities?Prepares customer service and sales files for every new car sold and or serviced in the dealership Update files with new documents and create new and replacement documents as necessary Respond to inquires regarding records and files Locate and retrieve information from files in response to request from authorized personnel Perform periodic audits of documents or files in order to ensure correct placement, legibility and proper condition Place documents and files into storage receptacles, such as file cabinets, boxes, bins or draws according to classification and identification information Scan or read incoming documents in order to determine how and where they should be classified or filed Sort or classify information according to guidelines such as content, purpose, user criteria or chronological, alphabetical or numerical order Track documents removed from files in order to ensure that borrowed files are returned Assemble and code files for shipment to off-site storage Gather documents to be filed from departments and associates Perform general office duties such as typing, operating office machines and sorting mail What are the requirements for this job?High school diploma or equivalent Strong communication and organizational skills Experience handling a high volume of paperwork Must be highly organized and have excellent follow-up skills
