HR Recruiting & Onboarding Specialist

HUMAN RESOURCES RECRUITING & ONBOARDING SPECIALIST REPORTS TO: HR Manager LOCATION: Missoula FLSA STATUS: Non Exempt POSITION RESPONSIBILITIES:The HR Recruiting & Onboarding Specialist is responsible for providing support in the areas of recruiting, new hire processing, training and general administrative support.

This job is a full time position It is expected of the incumbent to communicate professionally with peers, supervisors, subordinates, vendors, customers, and the public, and to be respectful and courteous in the conduct of this position.

ESSENTIAL JOB FUNCTIONS: Essential job functions include the following.

Other functions assigned as business conditions change.

MAIN DUTIESCoordinate the recruitment process by placing ads, screening applicants, scheduling interviews and preparing declination letters or phone calls to applicants not selected and general administration of the recruitment process.

Keep up to date with all contracts with advertising and recruiting vendors; personality assessments, applicant tracking system, etc.Attend Career Fairs, mock interviews or hiring fairs with HR Manager.Coordinates the New Hire process and corresponding paperwork, distributes and files paperwork as needed and conducts New Hire Orientation.

Intermittent travel to off-site locations for recruiting/hiring.Responsible for various items on the New Employee and Term Employee checklists.Conduct On-boarding meetings.

Provide CAO, HR Manager, and supervisor with follow up reports.Responsible for scheduling ergonomic evaluations, ordering equipment and follow ups.Scheduling and holding all 401(k) meetings for new employees in a timely manner.Maintain the HR Dashboard to keep current up to date information.Assist HR Manager and Chief Administrative Officer in coordination of employee benefits.Maintains current WAH list of employees.Contribute to the workflow with regular and punctual attendance.

NON-ESSENTIAL JOB FUNCTIONS:Assist in maintaining personnel files including filing, creating new files and conducting the checkout process.Assist with employment verifications, address changes and Allegiance All Stars Awards as needed.Participate in Continuing Education program as needed.Assist the HR Manager with various tasks or projects.Assist in the Blue Jeans and Community Outreach Committees and participate where needed.Assist in conducting annual I-9 Audit.Assist with coordination of events/special events (MLK Meeting/Osprey Night).

Performs related or other assigned duties as required or directed.

Minimum Education: High School Education with administrative or HR assistant experience.

Certification(s): Minimum Experience: One to two years in an office or professional setting preferred.

Experience with recruitment and benefits preferred.

Other Qualifications: Excellent oral and written communication skills required.

PC skills, including Windows, Word, Excel, Access, PowerPoint and Visio.

Must be able to adapt to software changes as they occur.

Must be detailed-orientated and have Strong organizational skills.

High level of interpersonal skills to work effectively with others.
