* Videos Videos * Duties Help Duties Summary The Supervisory Medical Support Assistant (MSA) serves as the direct supervisor for Lead MSAs, Advanced MSAs, and MSAs within Care in the Community Service. The Supervisory MSAs perform support duties that facilitate the work of physicians, physician assistants, nurses, nursing assistants, and other members of the medical facility who provide patient care as well as provides support work in connection with the care and treatment given to patients. After expiration you must re-apply to the vacancy to receive consideration. * Supervisory MSA has full administrative and professional responsibility for planning and directing staff. * Responsible for extracting and analyzing data in order to provide reports in support of performance measures to senior management. * Supervisor MSA is responsible monitoring the electronic wait list; ensuring encounter forms are completed in order to obtain appropriate workload credit; verifying the completion and accuracy or patient demographics and insurance information; processing all emergency and non-emergency transfers to other VA facilities or private hospitals; performing basic eligibility, co-pays and preauthorization requirements for specific coverage (e.g. sharing agreements, Choice consults.). * Responsible for running reports on the Audiocare system, Incomplete Encounter Reports, daily workload and consult reports, and provider productivity workload report as it relates to clinic utilization. * Work collaboratively in an interdisciplinary setting and performs related duties; customer service to ensure the proper treatment and timeliness of care for patients. He/she assists with clinic access contingency plans by adjusting provider schedules and patient appointments, avoiding staffing conflicts. * Ensure that MSAs are fully trained in CPRS documentation and telephone courtesy. Random audits are performed on staff to ensure documentation is appropriate and timely. Work Schedule: Full Time 40 hours a week. Exact work schedule to be discussed during interview. Basic Requirements: * United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. * English Language Proficiency: MSAs must be proficient in spoken and written English in accordance with VA Policy. * Experience : Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, * Education: One year above high school; OR, * Experience/Education Combination: Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Preferred Experience: No less than one (1) year of prior or current supervisory experience. Grade Determinations: In addition to the basic requirements above, all applicants must also meet the following grade requirement for a Supervisory Medical Support Assistant, GS-0679-8. They must have one (1) year of experience equivalent to the GS-7 grade level and also be able to demonstrate the KSAs listed below: i. Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. ii. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. iii. Ability to provide briefings, orientations, staff development, and training in a patient support setting. iv. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs. v. Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.
