Executive Assistant – Grant Administration Support

UCLA can do all this and more at UCLA Health.As the Executive Assistant to the Chief of Dermatology, you will serve as the first line of communication, acting as a liaison with divisional management, faculty, and key stakeholders.

You will provide administrative support for research grant administration:* Assist in the preparation and editing of contract & grant applications and progress reports* Coordinate the submission of Institutional Review Board applications (IRBs)* Assist with preparing high-level reports, researching and compiling data* Assist with manuscript preparation and submissions including tables, graphs, and slides* Coordinate NIH T32 training grant curriculum including meetings and lecturesYou will ensure that the Chief is adequately informed and prepared for day-to-day operations.

In order to accomplish this, you will provide administrative support:* Draft and prepare correspondence to urgent requests* Organize/coordinate the quarterly Academic Faculty Meeting* Manage complex calendaring* Organize meetings and prepare materials for distribution* Develop and implement efficient and effective systems for managing information, projects and communications* Coordinate travel as well as process travel and expense reimbursements* Assist with coordinating various course enrollments for students and ensure evaluations are completed in a timely manner* Handle special projects as necessaryQualificationsWe’re seeking a flexible, detail-oriented and self-directed professional with:* Three or more years of experience supporting C-Level executives* Superior communication, interpersonal, organizational and prioritizing skills* Ability to independently and expertly compose business correspondence, agendas, minutes, reports and meeting minutes* Strong independent judgment for managing complex calendars/scheduling* Computer proficiency with MS Office* Proven success in meeting and event coordination* Willingness to learn and apply innovative new concepts and systems* Flexibility in working non-traditional hours during key events and periods of high demand* Working knowledge of media relations and the ability to write press releases and manage media alerts* Ability to professionally represent the Chief with a polite, cordial, tactful manner* Experience handling information with a high degree of confidentiality* Skill in establishing and maintaining a complex filing system* Knowledge of the terminology of dermatology and immunology preferred* Bachelors’ degree highly desirableUCLA Health is a world-renowned health system with four award-winning hospitals and dozens of primary care practices, specialty practices, urgent care centers and other ancillary locations throughout metro Los Angeles as well as the David Geffen School of Medicine.
