Customer Service Representative

Job Description: The Customer Service Representative is responsible for supporting the Company’s sales goals through good customer service, maintaining quality relations with existing accounts, and providing sales coverage by performing the following duties. This is a temporary position with the possibility to become permanent.

Essential Duties & Responsibilities include but are not limited to:

  1. Preparing sales orders for carrier tendering (manifesting) by separating the orders by region and weight.
  2. Looking up old tenders/manifests to determine which carrier to tender the sales orders to have that carrier deliver the orders in accordance with the requested delivery dates and shipping schedule.
  3. Preparation/editing of tenders/manifests by adding specific sales order information into the tender/manifest, saving it on the shared drive and emailing it to the assigned carrier and warehouse, printing the tender, attaching the sales orders to it and filing it away.
  4. Works closely with Supply Chain Manager to request Transfers of inventory that are going to our outside warehouses and combines them with LTL orders making them truck loads.
  5. Answers carrier and warehouse emails/phone calls regarding due date changes and revises the shipping and deliver dates in the ERP system (NAV).
  6. Retendering of loads from carriers that fell through to other carriers by revising the tender/manifest and resending it to the carrier and warehouse.
  7. Emailing carriers asking them to make delivery appointments and email buyers/brokers, et all, with delivery appointment information.
  8. Prepares labels (pallet tags) for the warehouse.
  9. Works as the liaison between carriers and customer service regarding shortages on day of shipping.
  10. Updating load/manifest numbers into order ERP system (NAV).
  11. Requests bill of ladings (BOLs), proof of delivery (PODs) from carriers and warehouses as needed.
  12. Use of multiple systems (Excel is a must, Word, Power Point).
  13. Scanning, faxing, filing
  14. Develops maximum quality work through innovative and efficient customer service techniques using knowledge of the Company’s products and services.
  15. Verifies all order and tender/manifest information for accuracy.
  16. Maintains updated, organized files on all assigned customers.
  17. Backs up receptionist on phone system for breaks, absence/vacation.
  18. Perform other duties as assigned by management.
