What we are looking for –
The Client Service Coordinator’s primary responsibility is to support Wealth Management Senior Associates and Associates with various client related tasks.
This person will serve as a team member for multiple ultra-high net worth clients and is responsible for completing day-to-day administrative duties.
Typical duties include the preparation of Excel spreadsheets or other project management tools for various analyses, task management, data tracking, and information gathering and organizing.
This role will not initially have direct contact with clients and is expected to communicate with vendors and outside advisors as necessary.
You will –
Responsible for receiving, routing, and handling all incoming communications (via email, mail, voice, etc.) on dedicated clients
Track, route, distribute and proactively collect documents needed by the appropriate service group (tax documents, investment statements, invoices etc.)
Ensure client invoices are paid, wires transmitted, capital calls made, and tax compliances is handled by proactively tracking and reporting status through working directly with the expense management, tax, and investment operations teams
Responsible for highly accurate digital filing systems for client and firm documents.
Assist Wealth Manager teams with administrative tasks related to all services lines such as collecting signatures, contacting vendors, collecting documents from clients and vendors, DocuSign, and outgoing mail delivery if assigned
Maintain document controls for tax document inventory, invoice logs, money transfer logs, as appropriate and proactively ensure all docs are received for timely processing of transactions including tax returns, invoices, capital calls, tax payments, etc.
Manage project tasks and due dates toward project completion within the client service teams.
Download, file, track due dates, and process documents such as insurance, credit card, banking, statements, tax documents as needed
Prepare requests for money transfers and properly file all support documentation
Assist with the coordination and integration of projects and analyses done by various specialist groups.

We want –
Prior work experience in a financial services/accounting firm preferred.
Prior work experience with high net worth individuals preferred.
Prior experience with Salesforce preferred.
Excellent proficiency in Excel, Office products, and project management software required.
Bachelor’s Degree required
The financial planning Paraplanner Certification desired, but will have 1 year to obtain if not already certified
Entry to intermediate level of project management training is preferred
Excellent written and verbal communication skills required.
