As the Senior Administrative Coordinator for the SVP for Hematology R, you’ll be part of a team which focuses on ensuring scientific progress ultimately results in making a positive impact on changing patients’ lives.
This position can be in the Gaithersburg or Waltham offices.This position will support the SVP for Hematology R with core administrative responsibilities.
This position will be the initial point-of-contact with many key internal and external stakeholders on behalf of the Senior Vice President.Key responsibilities include:Core administrative support Extensive calendar management SVP
– proactively manages scheduling conflicts SVP is supported/prepped for meetingsEnd-to-end global travel arrangementsExpense report managementConference registration and managementFacilitating internal and external communications, meetings and eventsSetting up external meetings with partners and suppliersSetting up meetings and ensuring regular communications with key business stakeholders within AstraZenecaAssisting with managing events such as external speakers or other cross-functional educational or “Town Hall”
– type meetingsCoordination of candidate interviews, sending calendar invites, securing an interview space/room, greeting candidate and booking candidate’s travelVendor and employee / contractor supportManage AstraZeneca systems, processes and tools to support new employee onboarding and contractor onboardingManaging vendor/supplier contracts per AZ policy and working with key AZ stakeholdersFacilitate procurement of 3rd party Tools, technologies, licensing agreements by working with suppliers and AZ internal stakeholdersOffice and project managementPlans, organizes, and schedules own workload through system maintenance so that all activities are completed accurately and on timeMust be able to manage discreet projects Provide Systems management support of Workday, Capacitor, Assigner, MyTime, and PlanIT to make sure functional information is accurate, assessable, and integrated across networksAs a member of the administrative support community, he/she is responsible for providing back-up support and other assistance to other administrative staff, including training, and for contributing actively to the on-going development and implementation of shared practices.Minimum RequirementsH.S.
diploma required; college degree preferred.3-5 years of administrative support experience.Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.Must have strong writing and communication skills, and the ability to interact confidently with executives and employees at all levels.Competency with virtual technologies (e.g., MS teams, Zoom)Excellent team working, networking and influencing skillsShould be able to work autonomously, and at the same time, collaborate and partner effectively with other members of the administrative support community.Ability to think beyond boundaries of own job, challenges the status quo and seeks opportunities for continuous improvementAble to prioritize time sensitive assignmentsFlexible to adapt to ever changing needs and deadlines.Must be able to effectively multitask in a fast-paced environment while maintaining confidentiality and discretion.Must be able to demonstrate tact, persuasion and/or negotiation to accomplish the objectives.Desirable RequirementsExperience of providing administrative support in a global corporate environment across multiple time zonesPrevious experience in a pharmaceutical or biotechnology firm is desired.10 years’ experience desiredNext Steps
