School Administrative Assistant

Academy for Young Minds (AYM) is seeking a motivated professional to join our team and work in our state-of
– the-art private school for learners on the autism spectrum in Long Island City, NY.

OVERVIEW Administrative Assistant (AA) provides various administrative support to the administration, faculty, students and families of the school.ESSENTIAL JOB FUNCTIONS/DUTIES The essential functions/duties included, but are not limited to the following:General Demonstrates and maintains a pleasant, positive, professional, and respectful attitude towards members of the school community Responds to inquiries from a wide variety of internal and external parties (e.g., staff, parents/guardians, students, public agencies, etc.) to provide information, facilitate communication among departments, and provide direction as may be required.

Answers emails and phone calls.

School Safety & Security Greets all incoming visitors for the purpose of ensuring that guests sign-in/-out as required Ensures AYM Visitor Policies and Procedures and School Safety and Security protocols are followed.

Relays reported concerns from students, parents/guardians, and faculty staff to the appropriate senior staff Evaluates situations (e.g., involving other staff, students, parents/guardians, the public, police, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolutions Administrative Tasks Support administrative personnel for the purpose of assisting with their administrative functions Assist faculty, staff, and other personnel to support them in the completion of their work activities Schedules various activities (e.g., meetings, testing arrangements, assemblies, special programs, referral appointments, etc.) for efficiency and utilization of personnel, equipment, and facilities Performs record keeping and general clerical functions (e.g., scheduling, copying, faxing, mailing, etc.) for the purpose of providing information and/or materials as needed Complies data from a variety of sources (e.g., calendars, meetings, etc.) for the purpose of complying with financial, legal, and/or administrative requirements Maintains a variety of computerized and manual records, files, and department databases (e.g., information packets, rosters/listings, calendars, outstanding supply orders, etc.) for the purpose of documenting activities, providing reliable information, and complying with district, state, and federal requirements, if applicable Prepares written materials (e.g., correspondence, agendas, minutes, newsletter, Parent Handbook, bulletins, reports, bank deposits, receipts, etc.) for the purpose of documenting activities, providing written references, and/or conveying information Operation Coordinates a variety of programs and/or activities to ensure availability of facilities and/or equipment and delivering services in conformance to established guidelines Maintains inventory of supplies and materials (e.g., forms, office supplies, school supplies, etc.) to ensure items’ availability Monitors assigned program activities (e.g., purchase orders, office machine operations, etc.) to ensure completion in compliance with established financial, legal, and/or administrative requirements Other Functions Attends meetings as assigned for the purpose of conveying and/or gathering information required to perform functions Maintains office equipment, tools, and work areas (e.g., cleaning, loading supplies, clearing paper jams, etc.) for the purpose of ensuring a safe working environment and the availability of items within a specific time frameDESIRED QUALIFICATIONS AND SKILLS Associate’s Degree or higher preferred Excellent verbal and written communication and interpersonal skills Excellent organizational and problem solving skills Computer proficiency (e.g., data entry, data processing, word processing, etc.) Detail-oriented and excellent reporting skills Strong interpersonal skills and boundaries Understanding of the needs of students with Autism Spectrum Disorders (ASD) and/or other developmental disabilities and their families Experiences in working in a special education school as an office assistant/managerPREFERRED BUT NOT REQUIREDPHYSICAL REQUIREMENTS Hand Dexterity ability (e.g., ability to operate mobile device, telephone, computer) Ability to lift up to 15 pounds Ability to sit for extended periods of time Ability to stand for extended periods of timeABOUT SCHOOL AYM is a state-of-the-art independent private school for learners on the autism spectrum from age 5 to 15, and it was founded by TheraCare.
