Receptionist/Administrative Assistant

Overview: The Receptionist/Administrative Assistant provides general administrative support while also managing specific functions for the company as outlined below.

The successful candidate must exercise good judgment in a variety of situations, balance multiple priorities, and exhibit strong written and verbal communication, administrative, and organizational skills.

The candidate must be able to handle matters with a critical sense of confidentiality and discretion.

Responsibilities: Assist with mail, copies, phone calls, and messages as neededOpen and sort all mail;Answering routine correspondence via phone, email, mail, text, etc.Provide front desk support, including greeting customers, team members, vendors, and visitorsOrder office supplies, kitchen supplies, and meals when necessary;Provide general/office support, including notarizing/witnessing documents as necessary;Responsible for general office management tasks including coordination of contractors, office equipment needs, janitorial/maintenance services and interfacing with landlord, etc.Work closely and effectively with the Senior Leadership to keep them well informed of upcoming commitments and responsibilities;Complete a broad variety of administrative tasks including scheduling and managing a calendar of appointments, completing expense reports, and composing and preparing correspondence;Maintains company records, e-mails, and files (electronic and hardcopy);Assist with travel, event planning, and meeting preparation as needed;File expense reports as needed;Prepare draft letters, presentations, and communication as needed;Coordinate and manage logistics for all Board of Director meetings including but not limited to:Presentation preparationTravel and lodging arrangementsSupervision of breakfast and lunch catering selectionsVenue selection and reservations for Board dinnersProvide assistance to Directors as neededOther duties as assigned Qualifications: High School Diploma Required; Associates Degree or related degree preferred;3 years experience as an Receptionist, Administrative Assistant, or Office ManagerProficient in Microsoft Office (i.e., Word, Excel, and PowerPoint.Good judgment with a high degree of tact, diplomacy, and integrity required;Ability to anticipate needs, think critically and offer solutions;Highly-organized with a strong attention to detail and strong calendar management skills;Professional demeanor, strong judgment and maturity;Effective communications skills, both verbal and written;Strong interpersonal skills and ability to connect with people at all levelsCertified Public Notary or the ability to obtain this designation
