OVERVIEW

The Receptionist is an individual who is organized, poised and friendly.

They collaborate well in a group setting and are willing to assist with different administrative projects throughout the firm.

They maintain a welcoming atmosphere, while practicing proper security and COVID-19 protocols to ensure safety.

In addition, the Receptionist will use time management and organizational skills to provide the best quality of service possible.

This is a non-exempt, full-time position working Monday – Friday from 7:30 a.m.

– 4:00 p.m., with the flexibility to work longer hours if needed.

This position reports to the Director of Administration.

ESSENTIAL JOB FUNCTIONS
Greeting and directing clients/vendors/visitors upon arrival Adding clients/vendors/visitors to the appropriate security list Answering phone calls and transferring, when needed, to the appropriate staff member Responsible for monitoring the reception email Scheduling conference room meetings daily Placing catering orders and refreshing beverages throughout each conference room when needed Responsible for renewing subscriptions for various media sources for the firm Responsible for practicing proper security and COVID-19 procedures Responsible for parking validations and record keeping of parking validations Responsible for completing catering invoices and check requests Maintains telecommunication system by switching from Chicago forwarding to direct incoming call daily.

Maintains clean reception area.

Perform other related duties and assignments, as required.

KNOWLDEGE, SKILLS, AND ABILITIES:
Preferred 4-year college degree At least two years of receptionist experience preferred.

Possesses excellent organizational and time management skills Must possess strong oral and written communication skills Able to work well with Excel, Word and PowerPoint Able to multitask and prioritize in a fast paced environment Possesses skills to solve problems efficiently and effectively Able to collaborate well in a group setting Able and willing to assist with other tasks that may be required from time to time
