Foundation Administrative Coordinator

Reports to: 1440 Foundation Executive DirectorDepartment: FoundationFLSA: Part-Time HourlyPosition SummaryAdministrative support for Executive Director of Foundation and Director of Philanthropic Programs.ResponsibilitiesUnder the direction of the Directors, manage scheduling of meetings for the Canopy Team and the Cohort Partners and their DoctorsManage 1440 Foundation/grantee meetings at 1440 Multiversity; establish dates, connect, and communicate with participants, manage guest communique forms, ensure details are managed including billing, write in-kind grants, when necessary, obtain appropriate approvals.

Act as liaison between the 1440 Foundation and the participants to ensure smooth hand off to production.Manage Foundation email/social media/email address/email routing managementProfessional response to emails, social media posts, create and amplify 1440 Multiversity posts as neededManage grant timing and follow-up, work with Foundation ED on grants, ensure grant reports are submitted, update and manage the Foundation grant tracking tool; some communication with potential grantees will be necessary.Update 1440 Foundation website with new grantees, track, and archive accordingly, update content to reflect current strategiesPresentation support for Foundation initiatives; management of preparation schedule, delivery for quarterly and annual reviews with managementCoordinate with 1440 Multiversity Production team when needed for Foundation meetingsManage communications with leadership program applicants and participants Assists in the tracking of leadership program expenses and scholarshipsSupport on-site during leadership/advocacy programAccountabilitiesTeam efficiencySchedules are appropriately organized and managed1440 Multiversity meetings are managed with a seamless transition to the production teamRepresent the 1440 Foundation and Canopy brands well and professionallyEssential skills and experienceExcellent oral and written communication skillsStrong work ethic, take initiative, and require minimal directionWork well independently, as with a remote teamAbility to multi-task and prioritize taskProficient in Microsoft office and creating professional presentationsStrong organization skills, attention to detail requiredStrong orientation to 1440’s mission, vision, and valuesFlexible schedule to include nights, weekends, holidays as required Scope:This role requires working with a team in an office/campus environment.

Any need for occasional offsite work or business-related travel is based on business needs.
