Position Summary Ariel is looking to add an Administrative Assistant in our New York office.The position will report to the Chief Investment Officer, International and Global Equities and will be responsible for handling administrative and office facilities duties.

This position is located out of our New York office with expectations of being in the office per our hybrid schedule or as needed for client and other business needs.

Must be fully vaccinated by date of hire.

Proof of vaccination is required.

Responsibilities Include: Administrative support: Manage complex calendars, set up conference calls and meetings for multiple participants in different time zones globally, and troubleshoot scheduling conflicts Monitor incoming/outgoing emails from research department’s mailbox to ensure prompt replies Review and update Excel spreadsheets Register analysts for industry events/conferences Coordinate domestic and global travel arrangements Prepare and process expense reports Manage relationships with brokers and vendors Develop and improve workflows to enhance productivity and effectiveness of team Order catering, set up pantry, prepare beverages for guests etc.

Coordinate prep materials Ensure office staff is informed of all building related notices Office Management : Register guests with security to ensure smooth check in when visiting our offices Greet all guests with a friendly and warm demeanor Answer main phone line Reserve, set up / tidy up conference room including Video Conference, A/V equipment etc.

Facilities Management
– maintain tidy and functional office space, kitchen , and outdoor terrace space, and arrange cleaning, repairs, etc.

including liaising with building management Manage pantry and kitchen, including ordering and stocking adequate groceries, arrange catering, set up pantry, prepare beverages for guests, etc.

Manage copy / mail room: ensure functionality of copiers, scanners, shredder, supplies, distribute mail, FedEx, inbound and outbound correspondence Miscellaneous Back up other administrative staff in NYC as needed (vacation, sick, etc.) Hours: 8:30am
– 5:00pm (except US holidays)in the office T, W, and Th per our hybrid schedule and as needed for client and other business needs on M and F From time to time, flexibility may be required to work extra hours during certain busy periods Individual will be seated at the Reception desk .

We’re Excited if this is You Qualifications & Experience Minimum 3 years of relevant administrative experience Experience working in a similar role in financial services, ideally the investment management industry Strong service orientation (i.e., customer service, hospitality) required Ability to work effectively and efficiently Ability to prioritize and multi-task Ability to work independently as well as collaboratively Intense attention to detail Strong follow-through Excellent communication skills Self-motivated, proactive Aptitude to learn new processes, new software, and computer systems Education College degree required strongly preferred Computer Skills Needed to Perform this Job Strong Skills with Excel, Microsoft Word, PowerPoint, Outlook, Concur Competencies Communicate Effectively Is able to clearly and succinctly communicate verbally and in writing in a variety of settings and styles; can get messages across that have the desired effect.
