We are seeking an Executive Assistant to support our Advanced Space and Power Programs at our Canoga Park campus.

This position has responsibility for all administrative functions for this group.

Customer service skills are essential for this position.

This is a demanding position requiring significant coordination of visitors and special events.

He/she will interface with various departments and teammates, including management.

The successful individual will need to solve problems with limited direction, display a high degree of initiative and effectively communicate with personnel at all levels of the company.

Additionally, this position might be required on occasion to handle confidential and company-sensitive information requiring considerable discretion, judgment, tact and diplomacy.

Managing multiple tasks simultaneously and rapidly adapting to changing circumstances is a must.

Essential Job Functions (Including % of Time for Each): 35%
– Arranges and supports the Propulsion and Power Business Unit Directors with meeting scheduling and coordination, including team and department meetings and customer visits and site tours.

Will serve as training coordinator, Enterprise Support Plan input focal, setting up agendas for our weekly staff meetings, and be responsible for maintaining all program visual information boards with current information.

– Arranges employee travel reservations and business meetings/functions.

Plans for and monitors internal and external customer meetings.

Prepares expense reports and handles invoices.

In addition will require coordination of lunches and catering for NASA and the Department of Energy customers visiting our Canoga Facility.

– Provides general assistance to other managers and employees within the department.

– Processes material in final form from rough and involved drafts that require frequent use of business and technical terminology and which combine materials from several sources.

– Gathers company internal data and compiles reports; compiles and organizes data for the programs group, maintains sensitive files and records.

Prepares, organizes and collects files, and performs data archiving.

Ensures rapid retrieval of files.

SECONDARY FUNCTIONS: Other duties as assigned.

Requirements: Requires a high school diploma or equivalent and seven (7) years of directly related administrative support experience, or an equivalent combination of education and experience.

Must have the ability to handle multiple actions simultaneously with frequent interruptions and time critical responsiveness.Requires strong working knowledge of MS Office (Word, PowerPoint, Excel) and Outlook.

Experience with the Concur Travel and Expense reporting application is highly desirable.Must be able to operate standard office equipment; to effectively interface with Program Managers and work in a team environment; to communicate effectively, both verbally and in writing; and to effectively schedule and prioritize work flow.Requires knowledge of typical office practices, policies and procedures, filing systems and record keeping.Also requires knowledge of business correspondence, including rules of grammar, sentence structure, punctuation and spelling.Requires U.S.
