Position Overview Reporting to the Administrative Director in the Clinical Psychology Department, the Administrative Assistant is responsible for providing department, faculty, and student support including calendar and file management, course and program coordination, and general office duties.

Essential Job Functions Department responsibilities includes creating and overseeing electronic distribution of announcements and program calendars, and posting all dissertation meetings and special announcements; maintaining Master Calendar for all meetings and semester events including room scheduling and meeting scheduling; providing reception and office coverage; and assisting with marketing and website updates.
Course and program support includes assisting with collecting, tracking, and filing syllabi, grades, desk copies, course readings, student comment forms, section assignments, and course evaluations, and other course-related duties; assisting with Sakai and other student tracking modules; assisting with testing materials: managing the WJ-III, WISC IV, WAIS IV, MMPI and Rorschach testing kits and protocols; helping distribute and track testing kits and protocols for students; assisting with Continuing Education programs and maintaining APA sponsor approval system.
File management responsibilities include maintaining student file records, scanning graduate files to server, monitoring department files, and managing postdoc information that comes into the department including maintaining files within the department and online.
General office duties includes filing, copying, maintaining office supplies and equipment, and assisting with IT troubleshooting.
Faculty support includes providing administrative support, assisting with special projects, and performing additional duties as requested.
Performing other duties as assigned.
Minimum Requirements High School Diploma At least one year of administrative support experience Strong verbal and written communication skills Proficient with Microsoft Office and Google, with ability to learn new software programs Strong organizational, attention to detail, and time management skills Ability to work independently and as a team player Knowledge, Skills and Abilities Individuals must possess knowledge, skills and ability to be able to successfully perform the essential functions of the position, or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of skills and abilities.
Hours of Employment This is a full-time position serving a national university.
A work schedule will be established in consultation with the supervisor.
Work Location Office to be housed at Antioch University New England campus.
Physical Requirements While performing the duties of this job, the staff member is regularly required to sit, stand, use hands and fingers, and talk or hear.
The employee is occasionally required to reach with hands and arms.
The individual must regularly lift and/or carry up to 10 pounds and occasionally lift and/or move up to 25 pounds.
Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus.
Requires daily use of computer and other standard office equipment.
