Administrative Specialist, Assistant to the Chair (Biological Chemistry) – Westwood

ResponsibilitiesIn this role, you will provide general administrative support to the Chair and Business Office. Serve as a member of a highly integrated administrative team, providing valuable administrative assistance for the department.Your duties will include: Screening incoming calls and welcoming visitorsCoordinating calendar and reminders of all upcoming deadlines, meetings, visits, workshops and conferencesComposing and editing correspondence, maintaining CV, preparing dossier for Chair and other facultyUpdating websitesArranging and booking all travel, preparing travel vouchers and reimbursementProcessing reimbursement and purchasing supplies using BruinBuy system for multiple faculty Maintaining a clean and orderly front officeMaking and distributing announcements and sign-up sheetsHelping prepare conference rooms for journal clubs or other speaker presentationsQualificationsRequired:Detailed customer oriented skills to professionally, courteously, and quickly respond to requests from staff, faculty, students, and guestsAbility to use a computer terminal; working knowledge of Microsoft Word, Excel, and AccessKnowledge and experience with University policies and procedures regarding purchasing, accounts payable, and travel.Strong communications skills to effectively communicate in oral and written form with all levels of staff, faculty, students, university representatives, vendors, and outside contacts.Ability to take supervision from multiple staff and organize workflow efficiently.Working knowledge of correct formats for correspondence; writing skills to compose grammatically correct routine business correspondence.Ability to arrange travel, meetings, events, and related functions.Skill in working independently and following through on assignments with minimal direction.Preferred:Bachelor of Science degreeKnowledge of Computer set up and repairExperience using University Bruin Buy and Express Travel systemsFamiliarity with University facilities, catering, telecommunications, and other service requestsKnowledge and experience using on-line Purchasing System (PAC) and BruinBuyUCLA is an Equal Opportunity/Affirmative Action employer.
