Position InformationPosition Information Vacancy Number:S-00923 Position Title:Administrative Associate Classification Title:Administrative Associate Department:College of Nursing and Health Sciences Administration Employment Type:Full-Time Duties and Responsibilities:The College of Nursing & Health Sciences is accepting applications for the Administrative Associate position.
The qualified candidate chosen for this position would serve as the first point of contact in the dean’s office for phone calls and walk-ins in addition to the following responsibilities: Assists with coordinating events for School of Nursing and the College of Nursing and Health Sciences to include developing invitations, making arrangements for catering, serving as liaison to internal and external constituents, and providing assistance for post-event needs.
Processes fall, spring, and summer semester class schedules.
Assists faculty with coordination requests for room space needs each semester.
Creates course registration number and enters relevant course information for course registration process.
Processes faculty and adjunct information for Banner.
Maintains up-to-date information in Banner and ARGOS reporting database.
Provides administrative support to faculty and staff (word processing, filing, copying, etc.) Assists with typing of faculty manuscripts, papers, reports etc.
as needed.
Assists with mail distribution.
Coordinates and enters room reservation requests from faculty in the College of Nursing & Health Sciences.
Maintains database of events and related information.
Posts classroom schedules each semester outside of classroom.
Collects and posts faculty office hours each semester.
Provides advising folder preparation for faculty, assists with file preparation, and filing, and other duties related to advisement and management of records each semester.
Keeps faculty/student related bulletin boards, signage, and other areas up-to-date throughout the year.
Maintains data for accreditation such as NCLEX -RN reports, end of course evaluation data and preparation of other reports as needed throughout the year.
Coordinates the maintenance and repair office equipment and other building related issues for the College of Nursing and Health Sciences.
Knowledge, Skills, and Abilities:The successful candidate should possess the following knowledge, skills, and abilities: Knowledge of basic word processing software and the ability to operate standard PC/PC software applications including Microsoft Office suite of programs Knowledge of applicable university policies and procedures Knowledge of general office procedures Knowledge of assigned department forms, rules, etc.
Knowledge of and ability to input information into Banner and edit appropriately and in a timely manner Interpersonal skills Oral and written communication skills Ability to review materials and identify discrepancies or mistakes (i.e., proofreading) Ability to perform basic mathematical computations Ability to respond to several demands at one time Ability to coordinate the work of others Analytical skills Ability to work with databases Minimum Qualifications:High school diploma or equivalent and two (2) years clerical/administrative experience.
Additional relevant education may be substituted for experience requirement.
