Provides administrative support to the office.

This role provides general administrative support and will handle routine, priority, and advanced duties for other professionals, to help meet critical deadlines.

This position will organize files, create correspondence, prepare reports and documents, manage calendars to schedule appointments, sort mail and distribute mail and offer general staff support.

They may serve as an initial point of contact, answering phones and greeting visitors.

They might engage in event planning and meeting setup and implementation.

Very often they will make travel arrangements and generate itineraries.

They must deal with other people from a wide variety of levels, from clients, field managers and supervisors, and to corporate management.Duties and Responsibilities: Answer phones, screen and route calls to the appropriate person Greet visitors, determine nature and purpose of visit, direct or escort them to specific destination Respond to inquiries from the public, and provide information about the companyManage incoming and outgoing mail including general delivery services (i.e.

UPS, DHL, etc.) Distribute incoming faxes to appropriate personsStandard office duties and various related duties as assigned by other departments.

Use of computers to enter data, set up functions, or process information.

Maintain neat, clean, and inviting reception area Maintain and distribute the corporate contact list as needed Order, maintain, and manage office supply inventory (including paper, business cards, letterhead, envelopes, stickers, etc.) Manage conference room needs, including schedule, set up, clean up, stock, and special meeting requirements (i.e.

food, drink, media, etc.) Maintaining all office equipment (i.e.

fax, printers, computers, scanners, etc.) General clean-up of copy room, conference room & all office areas other than individual desks &/or cubicle areasGeneral Stocking and clean-up of kitchen/break room.

Unload/put away clean dishes in the morning and load/run dirty dishes in the evening.Organize and implement company recognition (i.e.

congratulations, condolences) as requestedProvides administrative support to office personnel as requested (i.e.

typing, filing, special projects, etc.) Assisting HR with corporate administration of New Hire Processing., Tracking & Correspondence (Pre-Placement Testing, Setting up NHO Video, Etc.)Scan/Attach documents as requested.

Provide administrative/clerical support for other departments as requested Filing, Copying, Organizing, Quality Document Control, and Safety administration as directed.Take meeting minutes at meetings, create and distribute list of action items Manage multiple priorities meeting all deadlines in a complete and accurate manner Prepare communications, such as memos, emails, reports and other correspondenceMay be tasked to write and edit documents from letters to reports and instructional documentsMaintain filing systems, both electronic and physicalMay be tasked to manage administrative accounts and perform data miningKey Requirements, Education, Experience: High School diploma or equivalent, AA Degree PreferredComputer proficient with MS Office applications (Excel, Windows, Outlook, etc.)1-year experience in similar position or college credit equivalentMust be able to take direction and complete projects as assigned.

Able to use general office equipment (Phone, Fax, Copier, Scanner)Ability to learn new software, processes, and procedures.

Must have good solid math abilities in basic calculations.

Good math skills with basic computations such as add, subtract, multiple, divide, etc.

Excellent customer service and problem-solving skills in a professional environmentMust be able to multi-task, organize and prioritize work with minimal supervision.
