Administrative Assistant Qwest

Perform diversified and confidential secretarial and administrative support for the President/CEO by completing reports, planning meetings, making appointments and handling correspondence.

•Coordinate executive communication, including taking calls, responding to emails and interfacing with customers and vendors
•Proactively ensure President of Materials Group is prepared for meetings, prepare materials, provide needed background information and documents, etc.
•Screen telephone calls and visitors, and resolve routine and complex inquiries in the absence of CEO or refer to appropriate individual
•Assist with presentations, preparing PowerPoint and other presentation materials as required
•Prepare correspondence, memoranda, reports, etc.
•Handle confidential and proprietary materials
•File and retrieve documents and reference materials
•Conduct research, collect and review data to prepare reports and documents
•Schedule and maintain calendar of appointments, meetings and travel itineraries and coordinate related arrangements
•Prepare and distribute minutes of meetings

•High school or equivalent; Bachelor’s degree preferred
•Proven work experience as Front Desk Representative, Administrative Support or in a similar role
•Excellent PC skills including Microsoft Office Suite
•Must be a self-starter and able to complete tasks without close supervision
•Excellent telephone and communication skills; able to interact effectively and courteously with all levels within the organization
•Must have strong written and verbal communication skills
•Must be able to handle highly confidential matters in a professional manner
•Ability to exercise sound judgment with the ability to prioritize assignments
•Strong time management and organizational skills; ability to take initiative as needed
•Ability to work alone or as part of a team
•Normal amount of sitting, walking and standing, average mobility to move around an office environment
•On an occasional basis, may be required to lift and carry up to 10 pounds and be exposed to loud noise
•Must be able to use hands and arms for repetitive movements, such as movement of wrists, hands and fingers while typing during normal work environment
